Position Overview
The Conference Coordinator (CC) is a paid summer position in Housing & Residence Life at the University of Kansas. The CC will report to the Assistant Director for Housing Services in Housing & Residence Life or a full-time staff member working with the camp and conference operations. The CC holds a live-in position, assisting with the management of summer operations and supporting the Housing Services team.
The CC is responsible for general oversight of the summer staff and doing the day-to-day tasks needed to make summer operations, camps and conferences successful. The CC works with campus partners and administrators to create a positive and engaging experience for our guests while providing a high level of customer service and care. The Camps and Conferences program seeks to provide a summer experience that engages youth and adult guests with the KU community, creating a meaningful, long-term connection.
The Conference Coordinator will be provided a holistic experience through oversight of student staff, occupancy management, and coordination of guest services to all areas of the Camps and Conferences program. The dates of employment are May 18, 2026, through August 8, 2026, with the opportunity to extend employment until August 15, 2026, depending on need. Dates may be flexible given mutually agreed upon communication prior to hiring.
The Housing & Residence Life CC experience can be utilized to complete field experience requirements for credit in a higher education or similar master’s degree programs. The CC must consult with their academic faculty or advisor to ensure the experience will count for academic credit and communicate all requirements to the Assistant Director for Housing Services.

40% Administrative Duties
- Serve as the primary point of contact for designated conference groups prior to and during their campus visits, coordinating logistics and collaborating with others.
- Work with conference groups by assessing needs and staffing appropriately, including adding staff to the schedule and sharing meeting locations/times in a timely manner.
- Assist with daytime, evening, and weekend check-ins and check-outs and provide strong customer service.
- Monitors and responds to emails in the Camps and Conferences Departmental account.
- Coordinate and manage information and communication with groups and campus stakeholders.
- Provides oversight and supports staff efforts in the management of linens and access on camp cards.
- Perform administrative tasks and assigned, related to, and not limited to issuing keys, scheduling room reservations, transitioning desks, etc.
- Maintain accurate and complete records of assigned conference groups.
- Assist accounting specialists with collecting necessary information for billing purposes, including completing post camp forms and accurate onsite payment collection.
- Participate, engage, and contribute within trainings, meetings with supervisors, ongoing departmental communication, and regularly scheduled summer operations meetings.
- Understand and follow all relevant compliance rules and regulations (FERPA, CI, NCAA, Clear, Minors on Campus, etc.) and maintain privacy with respect to students, staff, and guest information.
20% Staff Management and Training
- Supervise Lead Conference Assistants (LCAs) and Conference Assistants (CAs).
- Oversee and support student staff assigned to room, bathroom, and common area cleaning and furniture resetting during summer transitions.
- Partner with Desk Operations and Summer Desk Receptionists in training and logistics to support summer operations.
