Long Description
The College of Management of Technology (CDM) is the entity of EPFL in charge of developing and offering education and research programs in the fields of management, economics and finance. It employs 16 professors and about 100 staff members. CDM connects EPFL with business and society, stimulates entrepreneurship and innovation on campus, and prepares students for leadership positions in business, policy and academia.
MissionThe CDM central services (CDM-GE) and director's office handles college-level processes & responsibilities relating to professors' careers, college management, strategic initiatives & management of operations. In your role of administrative assistant at CDM central services you will support the College director, and closely collaborate with the CDM deputy director and other team members (finance, communication, infrastructure) as well as regularly interacting with CDM staff at all levels.
MainDuties And Responsibilities Admin assistant for the CDM Director's office
- Organization of meetings for the CDM Director, regular and ad-hoc
- Minutes writing for the CDM Direction Committee meetings
- College Council secretary (council elections, schedule & prepare meeting, minutes writing)
- Admin support for CDM-DIR processes: invited professor organization, Chair opening & closure, inaugural/honorary lectures organization.
- Admin support for Professors of Practices & Emeritus Professor (travel, reimbursements, purchases)
- Financial administration of CDM-GE:
Credit card management, travel organization, expenses & purchases - HR processes: support for staff recruitment process, establishing contracts, on-boarding, IT material, preparing departure, logistics
- Odyssea building management support: offices/workspace allocation, conference room management, incidents management, renovations demand, etc.
- IT Inventory coordinator for CDM-GE
- Meetings organization
- BA studies, CFC training or equivalent;
- Comfortable & precise in financial accounting;
- Strong expertise in Microsoft Office software (Word, Outlook, Excel);
- Excellent organizational skills, rigorous with attention to detail and deadlines;
- Dynamic and proactive, taking initiatives and capable of working autonomously;
- Easiness to assimilate new IT tools;
- Discrete & friendly, able to work with a diverse and multicultural group;
- Fluent in French and English
