We are currently seeking a detail-oriented and proactive Coordinator to join our growing team.

Position Overview

The Coordinator, Preconstruction Services plays a key role in supporting preconstruction efforts by managing project information, coordinating tasks, and working closely with internal teams to develop high-quality proposals. The ideal candidate will have experience with Cosential (or similar CRM platforms), strong technical editing skills, and the ability to manage multiple priorities in a fast-paced environment.

Key Responsibilities

  • Project Information Management
  • Maintain and update project data, team information, and pursuit tracking in Cosential.
  • Ensure accuracy and completeness of project records and preconstruction documentation.
  • Technical Editing & Document Production
  • Edit and format proposals, qualification packages, and other technical documents for clarity, consistency, and branding.
  • Assist with the preparation of deliverables including RFQs, RFPs, and SOQs.
  • Task & Workflow Coordination
  • Monitor and manage deadlines for pursuit and preconstruction deliverables.
  • Coordinate with estimators, engineers, and project managers to gather required content and updates.
  • Bid Package Development
  • Support the creation of bid packages by organizing scopes of work, subcontractor documentation, and related materials.
  • Track revisions and ensure timely distribution to stakeholders.
  • Serve as a central point of contact for administrative support during the preconstruction phase.
  • Foster cross-functional collaboration among design, estimating, marketing, and project delivery teams.
  • Traveling

Qualifications

  • 3+ years of experience in construction administration, marketing, or proposal coordination (preferably in water/wastewater or infrastructure sectors).
  • Proficiency with CRM systems, particularly Cosential, Microsoft Office Suite (Word, Excel, Outlook) and Adobe Creative Cloud (Acrobat, InDesign, Photoshop).
  • Excellent organizational, editing, and written communication skills.
  • Ability to manage multiple projects simultaneously under tight deadlines.
  • Familiarity with collaborative delivery methods (Design-Build, CMAR) is a strong plus.
  • Bachelor’s degree in Construction Management, Communications, Business, or a related field preferred.
