Salary: $19.97 - $29.95 Hourly ($41,527 - $62,291 Annually). This position is a Pay Band C4.

Why does the job exist?The Scheduling, Timekeeping, and Data Entry Clerk supports the nursing department by ensuring accurate staff scheduling, time tracking, and administrative record‑keeping. Responsibilities include managing shift schedules, time‑off requests, and coverage to meet patient care needs while ensuring compliance with labor rules and union agreements. The role also involves verifying employee hours and entering timekeeping data. Accurate and confidential data entry of staff and scheduling records is essential.
This position utilizes scheduling software and office tools to perform administrative tasks such as filing, processing forms, preparing reports, and supporting internal communication. The role is key to maintaining staff coordination, efficiency, and smooth daily operations within the nursing team.
How does it get done?Develop, maintain, and update nursing staff schedules to ensure appropriate shift coverage based on patient care needs, staffing ratios, and department protocols. Review and process employee time‑off requests, shift swaps, and schedule adjustments while ensuring compliance with labor laws, organizational policies, and union agreements. Track and verify employee attendance and punctuality using time‑keeping systems; identify and report any discrepancies to management.
>Accurately input and update scheduling, timekeeping, and personnel data in appropriate digital systems or databases. Maintain confidentiality and integrity of all staff records, including time records, schedules, and personnel documentation. Communicate scheduling changes, updates, and reminders to staff in a timely and professional manner via email, phone, or internal messaging systems. Prepare and distribute staffing reports, coverage charts, and other scheduling‑related documentation as requested by nursing supervisors or department leads.
Serve as a point of contact for scheduling‑related inquiries, resolving conflicts or issues when possible and escalating complex matters to management. Use scheduling software and office productivity tools (e.g., Excel, Word, Outlook) to perform daily administrative tasks efficiently. Support administrative workflows such as document filing, form processing, and maintaining internal logs and calendars. Assist with onboarding new nursing staff by entering initial scheduling and time‑keeping information and providing basic orientation on related procedures.
Collaborate with HR, payroll, and nursing leadership to support staffing audits, compliance reviews, and internal reporting needs. Monitor shift coverage proactively and assist in coordinating last‑minute replacements in cases of unexpected absences. Support internal communication efforts related to staffing, shift coverage, and departmental updates. Perform other clerical or administrative tasks as assigned to support the overall operations of the nursing department.

Ideal Candidate- Experience & Knowledge: Proven experience in healthcare staff scheduling, preferably in a nursing department or clinical setting.
- Strong working knowledge of labor laws, union agreements, and healthcare staffing regulations.
- Proficient in time‑keeping systems and data entry, with a track record of accurate and timely record‑keeping.
- Familiarity with nurse‑patient ratio requirements and shift planning protocols in a healthcare environment.
