The Fulfillment Specialist works in an office environment within our warehouse, collaborating directly with Action Link's Client Services (CS) Operations Team on fulfillment needs for various client programs. The Fulfillment Specialist is responsible for managing all aspects and timelines of fulfillment and logistics relative to client and fulfillment programs. The Fulfillment Specialist will work closely with all cross-functional teams, specifically Logistics, Client Services, and Finance.

Primary responsibilities of this role include but are not limited to strong relationship building, logistical analysis, communicating results, identifying business opportunities, and recommending process improvements. The Fulfillment Specialist will also serve as a day to day point of contact for the Logistics team on all client fulfillment.

  • Schedule: Full-time | 40 hours per week. Monday–Friday | 7:00 AM – 3:30 PM

What You’ll Do
  • Support key performance goals across assigned fulfillment programs

  • Provide operational insights and reporting to Account and Operations teams

  • Keep CS Operations programs on track by
    monitoring timelines and
    recommending solutions

  • Collaborate with cross-functional teams to deliver successful results for clients

  • Serve as a day-to-day contact for clients,
    providing updates on inventory, shipments, parts status, invoicing, and program planning

  • Manage parts requests, ordering, mass mailings, batch processing, and inventory within Action Link’s warehouse management systems

  • Maintain program
    reporting and communication through systems such as Share Point

  • Perform
    quality assurance checks to ensure program accuracy and consistency

  • Assist with shipping needs and shipping quotes as required

  • Ensure orders are processed accurately and tracking information is available for field representatives

  • Coordinate with Customer Success and Logistics teams to resolve order changes and communicate final updates

  • Align fulfillment timelines with field execution schedules and update workforce systems such as Natural Insight

  • Ensure logistics and fulfillment activities meet contract billing requirements, partnering with the Finance team when needed

  • Apply knowledge of shipping providers and national delivery timelines to balance cost and speed

  • Support procurement for assigned programs and manage purchase orders within Action Link systems

  • Travel locally when needed to obtain procurement items

  • Follow all Action Link Travel and Expense policy guidelines

What You Bring
  • Valid forklift certification

  • Two-year college degree in business or equivalent experience

  • Shipping experience preferred (UPS, Fed Ex, or similar)

  • Strong relationship-building skills across teams and clients

  • Excellent collaboration, critical thinking, and problem-solving abilities

  • Strong attention to detail with proven time management and organization

  • Clear and professional verbal and written communication skills

  • Proficiency in Microsoft Office

Physical Requirements
  • Ability to use a computer, phone, and standard office equipment

  • Ability to sit or stand for up to four hours at a time

  • Ability to lift up to 30 lbs
