Job Summary

Insomniac is looking for an enthusiastic and passionate Production Payroll & Onboarding Coordinator to support the Production HR team with event‑based onboarding and payroll processing. This position reports to the Production HR Business Partner and requires full in‑office presence.

Responsibilities
  • Coordinate end‑to‑end payroll processing for 5,000 seasonal, non‑exempt employees across multiple states on a bi‑weekly and weekly basis during busy seasons; audit submissions for accuracy and compliance.
  • Stay current with federal and state payroll laws and regulations to ensure compliance.
  • Collaborate with HR and festival managers to verify and process time and attendance data; monitor and support updates to staff rosters for each event.
  • Support onboarding of high‑volume new hires in Workday, Accurate, and HSI, including data entry, verification, outreach communications, and reconciliation.
  • Coordinate with festival managers to ensure timely payroll submission and payment of all onboarded employees.
  • Maintain accurate labor coding and wage allocations per shift.
  • Provide excellent customer service by addressing employee payroll inquiries and resolving issues promptly.
  • Manage payroll‑related email communications and monitor group email daily.
  • Update project‑management tools to track status of all required tasks.
  • Provide onsite support to the Production HR team at shows as needed.
  • Perform additional payroll and HR audit duties or special projects as required.
  • Work flexible hours, including overtime upon management approval, to accommodate busy seasons and urgent business needs.
  • Travel domestically to event sites several times per year.
Qualifications
  • Bachelor’s degree in Business, Accounting, Finance, or equivalent.
  • Minimum 2 years of experience in high‑volume or seasonal hiring and payroll cycles.
  • Knowledge of wage‑and‑hour laws, tax laws, and related regulations.
  • Experience with HRIS and payroll systems;
    Workday experience preferred.
  • Experience with onboarding or background‑check systems.
  • Strict confidentiality of sensitive payroll and employee information.
  • Strong problem‑solving and troubleshooting skills for payroll/time‑keeping discrepancies.
  • Proficiency in Microsoft Excel and time‑keeping software.
  • Ability to manage multiple deadlines with urgency and accuracy.
  • Knowledge of the I‑9 verification process.
  • Flexible with evolving duties and schedules.
  • Works well under pressure with close attention to detail and organization.
  • Excellent verbal and written communication skills.
Work Environment
  • Must tolerate loud noise levels and busy environments.
  • May work in extreme temperature climates on site at events.
  • Must be willing to travel to work events during holidays, evenings, and weekends as required.
