Location: Las Vegas, NV (IN OFFICE)
Reports to: Chief Human Resource Officer

Workforce Scope: Supports ~5,000 employees across 80+ travel centers, convenience stores, and integrated QSR locations in multiple states
Role Overview
Serve as a dedicated coordinator in the HR department, managing all aspects of unemployment claims processing and employment verification requests for our client’s workforce of approximately 5,000 team members. This coordinator-level role focuses on accurate, timely responses to claims and verifications, compliance with state regulations, data management, and risk reduction in a high-turnover, multi-site retail and food service environment. The position emphasizes organization, confidentiality, and proactive tracking to minimize financial impacts from unemployment claims while ensuring efficient verification processes.
This is an entry-level individual contributor role ideal for someone with strong administrative skills who excels in handling high-volume inquiries and regulatory documentation.
Unemployment Claims Management
- Receive, review, and process unemployment insurance claims from former employees, ensuring complete and accurate documentation (e.g., separation details, wage records, eligibility forms).
- Prepare and submit timely responses to state unemployment agencies (e.g., contesting ineligible claims, providing evidence for separations due to misconduct or voluntary quits).
- Coordinate with site leaders, payroll, and operations to gather necessary information for claims, appeals, or hearings; represent the company in telephonic hearings as needed.
- Track claim outcomes, chargebacks, and appeals; maintain records to monitor trends (e.g., by location, reason for separation) and report on potential cost savings or risks.
- Assist in developing guidelines for managers on documentation best practices to strengthen claim defenses and reduce unemployment tax liabilities.
- Handle incoming employment verification requests from third parties (e.g., lenders, landlords, government agencies) via phone, email, or automated systems (e.g., The Work Number or similar platforms).
- Verify key details such as dates of employment, job titles, salary/wage information, and eligibility for rehire, in compliance with company policy and privacy laws (e.g., FCRA, GDPR equivalents).
- Maintain and update employee records to ensure accurate, up-to-date information for verifications; resolve discrepancies or escalate complex requests.
- Monitor verification volumes and response times; generate reports on trends or issues for HR leadership.
Compliance & Administrative Tasks
- Ensure all processes comply with federal and multi-state regulations (e.g., UI integrity rules, state-specific unemployment laws, data privacy standards).
- Support audits related to unemployment tax rates (SUTA) and verification practices; assist in preparing documentation for internal or external reviews.
- Manage confidential employee data with discretion, using secure systems for storage and transmission.
- Collaborate with Payroll, Legal, and Operations to align on separation processes, wage disputes, or verification protocols.
Reporting & Process Improvement
- Compile monthly/quarterly reports on unemployment claims (e.g., win rates, costs) and verification metrics (e.g., request volumes, turnaround times).
- Identify opportunities to streamline processes, such as automating verifications or enhancing claim tracking tools.
Qualifications & Experience
- 2–5 years of experience in HR administration, unemployment claims processing, employment verifications, or related support roles—preferably in multi-site retail, convenience/travel centers, QSR/food service, or hospitality with high employee turnover.
- Familiarity with unemployment insurance processes across multiple states and basic employment verification standards.
- Strong organizational skills with attention to detail, accuracy, and the ability to manage high-volume tasks under deadlines.
- Proficiency in HRIS systems, Microsoft Office (especially Excel for tracking/reporting), and document management tools.
- Excellent communication skills (verbal/written) with a professional, customer-service-oriented approach to handling inquiries.
- Ability to maintain confidentiality and handle sensitive information in a fast-paced environment.
