Position OverviewWe are seeking a detail-oriented and organized Receivables Administrator (Contract) to support the Payment Operations team with day-to-day receivables and transaction processing activities. This role is responsible for ensuring accurate and timely application of payments, assisting with returned payment processing, and supporting daily operational tasks such as check scanning and delivery coordination. The ideal candidate is highly organized, comfortable working with financial data, and able to manage multiple priorities in a fast-paced environment.
This is a 3-month contract position working Monday through Friday from 9:00 AM to 6:00 PM with a one-hour lunch break.
Responsibilities- Monitor daily receivables activity and ensure payments are correctly recorded and reconciled within internal systems.
- Assist with scanning and processing incoming checks and coordinating check delivery as part of daily payment operations.
- Investigate and resolve payment discrepancies, unapplied payments, and transaction exceptions.
- Assist with processing and adjusting returned payments and communicating with internal teams regarding payment status and resolution.
- Maintain accurate customer receivable records and account balances.
- Support the reconciliation of payment processor activity and internal transaction reports.
- Collaborate with Payment Operations, Finance, and Client Success teams to resolve payment-related inquiries.
- Assist with tracking outstanding receivables and identifying payment issues that may require follow-up.
- Review transaction reports to identify irregularities or missing payment activity.
- Maintain organized documentation of payment activity and support materials for audit and internal review purposes.
- Support the month-end close process by preparing receivable-related reports and assisting with reconciliations.
- Support continuous improvement of receivables processes and perform additional responsibilities as assigned.
- Associate’s or Bachelor’s degree in Accounting, Business, Finance, or a related field preferred.
- One to three years of experience in accounts receivable, payment operations, accounting support, or a related role.
- Familiarity with payment processing systems and transaction types such as ACH, wires, and card payments.
- Experience handling check processing or cash application is a plus.
- Experience working with financial systems, payment processors, or ERP platforms is a plus.
- Strong attention to detail and ability to manage large volumes of transactional data.
- Strong organizational and time management skills with the ability to prioritize multiple tasks.
- Proficiency in Microsoft Excel and general Microsoft Office tools.
- Strong communication skills with the ability to work cross-functionally with internal teams.
- Experience using ChatGPT or similar AI tools for personal or professional development is a plus.
- Ability to work independently in a fast-paced environment while maintaining accuracy.
