Financial Planning & Insurance Operations Assistant

We are a boutique firm on a solid growth trajectory, seeking a Financial Planning & Insurance Operations Assistant to join our expanding team.

Your Role

As a Financial Planning & Insurance Operations Assistant
, you’ll support our advisors and clients by managing key planning and insurance tasks. You’ll help build financial plans, coordinate insurance applications, and maintain client data in our CRM.

Responsibilities

  • Establish and onboard clients in financial planning platforms (E‑Money).
  • Build financial plans based on advisor guidance.
  • Gather and review client documents; analyze data and prepare recommendations.
  • Document recommendations and client conversations in Zoho CRM.
  • Maintain workflows, tasks, and follow‑up schedules in Zoho CRM.
  • Segment clients and set review schedules.
  • Prepare and send welcome emails, support ongoing service and communication models.
  • Answer client questions about planning tools, and E‑Money.

Insurance Administration

  • Prepare and track insurance applications; follow up during underwriting.
  • Coordinate and communicate with carriers and agencies on administrative matters.
  • Update Zoho CRM with policy details and manage workflows.
  • Notify clients of insurance opportunities (FIO, WLPO, GIO).
  • Manage state licensing and compliance requirements.
  • Manage automated emails for client review meetings.

The appropriate candidate will possess the following qualifications:

  • Preferred:
    Business Administration Diploma or other college degree in a relevant business discipline or equivalent experience.
  • FPQP or CFP designation or willingness to obtain them.
  • Experience in a role involving financial planning and using financial planning software.
  • Strong computer skills in the MS Office Suite (Outlook, Word, Excel, Power Point) and CRM platform.

In addition, the appropriate candidate will possess the following attributes and will be able to provide examples of how they have demonstrated each:

  • Ability to communicate effectively with team members and clients.
  • Ability to understand financial product details.
  • Comfortable with using and learning new technology.

Furthermore, this role is ideal for someone who enjoys financial planning but is not interested in establishing their own financial planning practice.
