The Operations Coordinator will play an integral role in the organizational administration of the Operations Department. Will provide daily support to the Director of Operations and Operations Department(s). Qualified candidates will have impeccable verbal and written communication skills, a strong ability to multi‑task and a friendly demeanor.

This position reports to and supports the Branch Manager.

Key Accountabilities
  • Provide direct administrative support for the Branch Manager.
  • General support to the Operations team including RW scope oversight, RW reports, Paycom review.
  • Assist with expense reports, creating PO#s and purchase approvals.
  • Purchasing office supplies, expendables, misc. show supplies, tools, safety equipment, etc.
  • Participate in collaborative meetings with national management team to develop continuous improvement strategies for operational processes.
  • Work with the assigned project leader to work through processes in training / developmental sites.
  • Work with the assigned project manager to complete the documentation of step‑by‑step processes.
  • Facilitate and publish a Bi‑Weekly Repair and Staged Items report for all offices.
  • Assist with the Repair process – Order creation, scope oversight, vendor communication.
  • Support inventory with receiving new assets and barcoding – as needed.
  • Schedule and coordinate safety and building compliance – City Alarm permits, Fire Extinguisher Certifications, First Aid stock, Sprinkler tests, Safety walks, HVAC bi‑yearly service, Forklift cert., etc.
  • Assist returns with extended research – video surveillance review, venue calls, pm and crew communication.
  • Coordinate meals/beverages as needed for client demos, preps, stage events, etc.
  • Weekly communication with Human Resources - document and mail scans
  • Additional projects and tasks as assigned by the Director of Operations.
Education and Experience
  • Previous experience in warehouse operations required.
  • Previous experience as an office administrator
  • Exceptional written and oral communication skills
  • Excellent planning, time management, collaboration, decision making, and organization skills required.
  • Strong interpersonal skills including diplomacy and patience required.
  • Ability to communicate and interact effectively with multi‑functional and diverse backgrounds.

  • Ability to manage and direct the productivity and results of a team.

Physical Requirements: Required to stand, walk and sit; see, talk or hear, both in person and by telephone; use hands to finger, handle or feel objects or controls; reach with hands and arms. Long periods of standing, walking, or working at a computer and viewing one or more screens.
