Job Summary

Summary: The Staffing Scheduling Coordinator supports staffing, scheduling, payroll, and administrative operations for the Concessions, Premium, Culinary, and Retail departments. This role reports directly to the Staffing Manager and works closely with department managers and Human Resources, to ensure proper staffing coverage and compliance for event and non-event days. The Staffing Scheduling Coordinator is responsible for coordinating employee schedules, monitoring attendance and timekeeping, supporting hiring and onboarding, and ensuring compliance with company policies, labor agreements, and legal requirements.

Essential Duties and Responsibilities
  • Distribute and track monthly staff availability for upcoming schedules
  • Prepare, update, and distribute weekly schedules in collaboration with departments
  • Maintain schedules in MyStaff and update as needed
  • Track PTO requests
  • Manage callouts and last-minute staffing needs
  • Coordinate with Non-profit groups' availability for events
  • Conduct staff check-in, placement, and assignment communication
  • Monitor and document Call-Out line; distribute end-of-day attendance summaries
  • Verify payroll accuracy and ensure timesheets are completed before pay period close
  • Monitor staff hours to prevent unauthorized overtime
  • Review and audit gratuity reports
  • Track attendance and timeclock compliance
  • Assist HR with staffling level numbers
  • Assist HR in calculating hour worked for annual seniority
  • Prepare attendance-based corrective actions
  • Track placement eligibility
  • Assist with LOA adjustments for all departments
  • Assist with staffing, payroll, and financial reporting
  • Support Concessions, Premium, Culinary, and Retail leadership with administrative needs
  • Update Catering BEO boards and attend BEO meetings as required
  • Monitor late or revised orders and communicate changes to leadership
  • Print and maintain kitchen, event, and compliance documentation
  • Order and manage office supplies within budhet guidelines if necessary
  • Attend meetings and perform additional duties as assigned by Staffing Manager Department Heads
  • Performs other duties as assigned
Requirements and Qualifications
  • Ability to stand and walk for extended periods during event day
  • Ability to lift, carry, push, or pull up to 25 pounds
  • Ability to move between office, kitchen, warehouse, and event locations
  • Ability to use standard office equipment including computers, printers, and phones
  • Ability to work in both office and event-based environments, including exposure to noise, crowds, and varying temperatures
  • Minimum of 2 years of experience in a similar administrative or staffing role
  • Knowledge of employment laws and regulations
  • Strong organizational skills with high attention to detail
  • Proficiency in Microsoft Office, Excel, Google Sheets and Smarsheets
