We are seeking a detail-oriented and dependable Payroll & Administrative Specialist to manage multi-state payroll for Nevada and Arizona employees, while also providing essential administrative support. This role requires strong knowledge of payroll compliance, organization, confidentiality, and the ability to manage multiple priorities accurately.
Responsibilities Payroll Responsibilities (Multi-State: NV & AZ)- Process weekly and/or bi-weekly payroll for Nevada and Arizona employees (hourly and salaried)
- Ensure accurate calculation of wages, overtime, PTO, bonuses, and deductions across both states
- Apply correct state-specific wage laws, including:
- Nevada meal/rest periods, overtime, and final pay rules
- Arizona minimum wage, overtime, and federal FLSA break standards
- Review and approve timecards; resolve discrepancies prior to payroll submission
- Process new hires, terminations, and final paychecks in compliance with NV and AZ laws
- Administer garnishments, child support orders, and wage deductions across jurisdictions
- Maintain payroll records in compliance with state and federal retention requirements
- Coordinate payroll tax filings and reporting for NV & AZ, including year-end W-2 processing
- Respond to employee payroll inquiries professionally and timely
- Maintain strict confidentiality of payroll and employee information
- Provide general administrative and office support to management and operations
- Assist with onboarding paperwork and employee file maintenance (multi-state compliance)
- Maintain organized digital and physical employee and payroll records
- Answer and route phone calls and emails professionally
- Assist with scheduling, calendar coordination, and internal communications
- Prepare basic payroll, labor, and administrative reports
- Support invoicing, expense tracking, and data entry as needed
- Order office and janitorial supplies and track inventory
- Assist with audits, licensing, and compliance documentation
- Payroll experience required (multi-state payroll experience strongly preferred)
- Working knowledge of Nevada and Arizona wage & hour laws
- Experience with payroll systems such as ADP, Paylocity, Paycom, or Quick Books Payroll
- Proficient in Microsoft Excel and payroll reporting
- Strong attention to detail and organizational skills
- Ability to handle confidential and sensitive information
- Strong communication and problem-solving skills
- Authorized to work in the United States
- Ability to manage payroll compliance across multiple states
- Employment is at-will in accordance with Nevada and Arizona law
- Background check may be required, consistent with applicable regulations
- Office or hybrid environment
- Standard business hours, with increased workload during payroll cycles
- Computer-based role requiring prolonged sitting and screen time
