The Project Administrative Assistant provides administrative and coordination support to a project-based business unit. This role supports daily operations by handling scheduling, documentation, tracking, and system tasks to ensure activities are completed accurately and on time. The position requires strong organization, follow-up, and the ability to manage multiple administrative priorities in a fast-paced environment.

Key Responsibilities

  • Provide administrative support for day-to-day project and operational activities
  • Prepare and process expense reports
  • Schedule meetings and document meeting notes
  • Perform system-based administrative tasks, including purchase requisitions, change orders, and receipt processing
  • Track execution dates and follow up on outstanding requests
  • Coordinate ordering and tracking of IT equipment (e.g., laptops, tablets, phones, monitors)
  • Organize and manage shared inboxes and administrative communications
  • Assist with onboarding activities for new personnel
  • Support additional administrative and coordination tasks as assigned

Required Qualifications

  • Experience in an administrative, coordination, or project support role
  • Strong organizational and time-management skills
  • Ability to manage multiple tasks and maintain accurate tracking
  • Proficiency with standard office systems and administrative tools
  • Strong written and verbal communication skills
  • Ability to work independently and support multiple stakeholders
  • High attention to detail and follow-through
  • Time and materials contract engagement
  • Initial onboarding and role-specific training provided
