Pay Range: $19.58 per hour or $40,720.16 annually
Under the supervision of a Administrator, the Judicial Specialist II will support the Dona Ana Magistrate Court by processing court documents, accurately receiving and reconciling court fines and fees, and providing excellent customer service. The position requires use of electronic databases to manage and track information and data. Knowledge and proficiency in Odyssey and/or SHARE is desirable but not required. Ability to communicate in Spanish is preferred but not required.
Responsibilities- Use the case management system to open, docket, and close cases based on judgment details.
- Provide customer service information to a high volume of pro se litigants without giving legal advice.
- Open cases by determining case type/cause of action and assess and receipt filing fee if required.
- Docket cases by reviewing documents and determining appropriate event codes, entering data, scanning documents, and linking related scanned images.
- Close cases by determining and entering closing events, disposition type, and judgment details.
- Assess, record, and reconcile court monies, prepare bank deposits, and follow cash handling procedures.
- Process, maintain, and distribute documents, files, and case materials.
- Use electronic filing to review incoming filings for format, signatures, event code, and filing fees.
- Process and expedite orders of protection and key bond payments.
- Reconcile billing and invoices from contracted vendors for Specialty Court Programs.
- Prepare, proofread, edit, and mail out documents such as notices and final orders.
- Execute on case hearings, including orders to show cause, bench warrants, recusals, excusals, pleadings, and rule extensions.
- Maintain cash till and ensure accurate assessment, payment, receipt, and recording of court fees in the case management system.
- Provide public case information to parties, attorneys, law enforcement agencies, and other outside agencies.
- Order, review, sort, and organize jury summons.
- Prepare alpha list, random list, voir dire sheet, and seating chart for jury trials.
- Organize case files for microfilming, archiving, and destruction.
- Prepare exhibits and hard copy case files.
- Research automated, hard copy, and microfiche files for case status data.
- Certify and prepare court records, tapes, logs, and exhibits for cases on appeal to higher courts.
- Ensure the office, courtrooms, and equipment are operational and judicial calendars and schedules are maintained.
- Act as a court monitor and serve as a courtroom clerk when required.
- Other duties as assigned.
- High school diploma or GED.
- Two (2) years of experience in court case processing, a legal secretarial or related field such as advanced customer service, data processing, and/or banking/financial experience.
- Typing certification from the New Mexico Department of Workforce Solutions or similar with a minimum of 35 words per minute.
- Knowledge of legal terminology and phrases, basic knowledge of jury service, filing methods, case processing, research methodology, and court fee accounting practices.
- Understanding of court procedures manual and code of ethics and state language access policies.
- Desirable:
Ability to communicate in Spanish and proficiency in Odyssey and/or SHARE.
