Job DescriptionPURPOSE SUMMARY. Under general supervision and in coordination with the supervisor, support the Appraisal Department by planning, organizing, delegating, training, and monitoring data entry work assignments to achieve maximum efficiency and work quality. Create a positive, supportive work environment and maintain an open line of communication among data entry staff and the appraisal department. Provide input regarding employee performance. May assist with the hiring process.
ESSENTIAL DUTIES.
- Create and update standard operating procedures (SOPs) for data entry and clerical tasks.
- Train data entry staff on approved SOPs. May train appraisal staff in similar tasks.
- Coordinate and monitor data entry assignments and review for accuracy, consistency, and completeness.
- Refer errors back to data entry staff for correction and provide input to supervisor regarding performance.
- Notify appraisal supervisors of concerns related to data entry submissions by appraisal staff.
- Offer guidance and support to data entry and appraisal staff on routine questions and concerns related to data entry processing and office processes and determine a final course of action consistent with approved sources or escalate concern to supervisor.
- Enter property and permit data into CAMA system.
- Receive monthly building permit lists from local jurisdictions and contacts delinquent jurisdictions.
- Act as the primary data entry clerk for the protest process and oversee protest program in coordination with, and at the direction of, the Chief Appraiser.
- Provide expertise in a wide range of clerical and administrative functions.
- Participate in internal and external meetings as directed by the Chief Appraiser.
- Crosstrain and assist in other areas of the Assessor's Office as needed.
- May perform lead duties for other clerical support positions.
ADDITIONAL DUTIES. Other duties as assigned. Work overtime outside standard business hours during peak workload periods that may include evenings, weekends, and holidays.
QUALIFICATIONS.A. Education. High school diploma or equivalent.
B. Experience. Two (2) years full-time data entry experience processing large quantities of alpha-numeric data. One (1) year lead experience required. Bi-lingual (English/Spanish) preferred. Bi-lingual (English/Spanish) reading and writing desirable.
C. Education/Experience substitution. In accordance with County Policy.
D. Licenses/Certifications.
E. Other (e.g., post-offer medical exam, polygraph, background check, driver's license record, etc.). Spanish speaking preferred. Background check. Must pass pre-employment background check and driving record check.
KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED BY THE POSITION:
Knowledge of :
- Data entry techniques.
- Modern office equipment and computer peripherals and software.
- Advanced office and administrative functions, best practices, and procedures.
- Business English grammar and composition.
Skill in :
- MS Office Suite with heavy concentration in MS Word and Excel software.
- Data entry of alpha-numeric data using computer keyboard or ten-key calculator keypad.
- Document preparation and formatting i.e. business letters, memos, special event flyers, SOPs.
- Paper and computerized research using internal and external sources.
- Creative and analytical thinking to articulate processes in a logical, clear, and concise order.
- Organizational/time management techniques to organize, schedule, plan, and execute tasks and projects.
- Effective, professional communication both orally and in writing.
Ability to :
- Learn CAMA computer software, new techniques and processes, and basics of mass appraising.
- Mentor, train, and lead others.
- Work independently and self-initiate tasks and projects and follow-through to completion.
- Remain motivated while performing repetitive or mundane tasks accurately.
- Be adaptable and flexible and able to shift priorities to meet office demands.
- Develop and maintain interpersonal relationships through honesty, integrity, and service.
Compensation Range
$19.59 - $29.39
