  • Supervise appointment scheduling processes across all specialties to maximize provider efficiency and minimize patient wait times.
  • Ensure scheduling protocols are followed (e.g., appointment types, follow‑ups, new patients).
  • Monitor provider schedules daily to adjust for cancellations, add‑ons, and over bookings.
  • Oversee patient check‑in and check‑out processes to ensure accuracy in registration, insurance verification, and copay collection.
  • Ensure front desk staff greet patients professionally and maintain high service standards.
  • Handle escalated patient service issues and feedback with a solution‑oriented approach.
  • Hire, train, and supervise front office and prior authorization staff.
  • Lead performance evaluations, employee rounding, team development, conflict resolution ongoing compliance training of staff.
  • Conduct staff meetings and training to promote team engagement and quality care standards.
  • Monitor and improve patient satisfaction by optimizing wait times, ensuring courteous service, and addressing patient concerns promptly.
  • Ensure compliance with HIPAA and other patient privacy and safety regulations.
  • Manage the prior authorization process for procedures, imaging, and referrals across all specialties.
  • Ensure timely completion of authorizations to avoid delays in patient care.
  • Maintain appropriate staffing levels and manage staff schedules and coverage.
  • Other duties as assigned.
  • High school diploma or equivalent required; relevant experience may substitute for degree.
  • Bachelor’s degree in Healthcare Administration, Business Administration, or related field preferred.

E X P E R I E N C E

  • Minimum 1–3 years of experience in a medical office setting.
  • At least 2 years in a supervisory or management role in a healthcare environment.
  • Familiarity with prior authorization processes and multi‑specialty clinic operations.

  • Ensure compliance with HIPAA, insurance guidelines, and clinic policies.
  • Collaborate with clinical and billing teams to ensure smooth end‑to‑end patient encounters.
  • Monitor and report on key operational metrics (e.g., no‑show rates, patient wait times, authorization turnaround times).
  • Coordinate regularly with providers and department heads to align operational support with clinical needs.
  • Strong leadership and team‑building abilities.

  • Proficiency in EHR/EMR systems and scheduling software.
  • Knowledge of insurance requirements, prior auth procedures, and front office workflows.
