Position OverviewBS&A Software is looking for a motivated, team‑player Business Operations Specialist to join its Sales Operations Team and be actively involved in all aspects of the Quote to Cash Process. The Business Operations Specialist is responsible for supporting all stages of the sales cycle as a key member of the BS&A account team. This position will be essential to the sales activities and communications between BS&A prospects and current customers on new, upsell, cross‑sell, upgrades and renewal opportunities.
The role will execute the sales operations activities, assisting with quotes & contracts, sales processing & bookings, and overall sales support. The candidate will maintain CRM/SFDC throughout the sales cycle, coordinate early stages of developing a sale, draft proposals, RFPs, and contracts, manage user and customer data in internal systems, and assist with client billing and collections. The position will work closely with Finance and Accounting, Product Team, Support Team, and Research & Development Team on Quote to Cash processes.
A successful candidate will have cloud‑based CRM (Salesforce) experience, solid Excel skills (pivot tables, VLOOKUP), and prior SaaS subscription/revenue‑based experience. Some experience in software sales operations or accounts receivable & collections is required. The role demands a strong ability to multi‑task in an evolving, fast‑paced environment and a “roll‑up‑the‑sleeves” attitude.
Responsibilities- Assist Sales organization in processing software, professional services and support opportunities.
- Support sales team with finalizing appropriate sales documentation: quotes, Statements of Work, Purchase Orders, Licenses & Software authorizations.
- Coordinate, write and drive the completion of RFI/RFPs in partnership with Sales, maintaining an RFP repository and best practices.
- Ensure alignment to sales processes, policies and procedures.
- Collaborate with Service, Sales Engineering, Product Marketing, and other functional areas to support sales success.
- Generate key target opportunities and drive renewal business with partners & customers.
- Adapt to effective sales models and programs.
- Support other sales efforts as assigned.
- Maintain data, processes, and documentation for daily sales operations to ensure accuracy, consistency, compliance, and efficiency.
- Assist National Sales team with daily operations.
- Update customer records, contracts, invoices, and service specifications in Salesforce CRM.
- Manage sales data and perform data cleaning: remove duplicates, correct inaccuracies.
- Review changes to annual subscriptions for accurate billing, manage renewal process and collections.
- Investigate and correct errors in financial entries, documents, and reports.
- Create, audit and approve renewal invoices prior to sending them to the accounting system.
- Ensure timely billing and collections.
- Validate sales agreements for completeness and accuracy in compliance with BS&A policies.
- Collaborate with Deal Desk, Sales, Finance, and Legal on non‑compliant orders and resolve issues.
- Assist Sales and Finance teams with ad‑hoc projects.
- Bachelor’s Degree from an accredited 4‑year university preferred.
- 2+ years of relevant experience, preferably in SaaS or high‑growth technology environment.
- Experience with in an Order Management or similar team.
- Deep understanding of the quote‑to‑cash process and cross‑functional dependencies.
- Effective communication at all organizational levels.
- Ability to work across diverse cross‑functional teams.
- High flexibility in a dynamic, fast‑paced environment.
- Excellent written and verbal communication skills.
- Adaptability during critical periods such as quarter/year‑end close.
- Strong analytical and problem‑solving skills with proficiency in research and resolution of processing and billing issues.
- Strong time‑management skills; ability to prioritize and meet deadlines.
- Independent work capability with minimal direction.
- Proficiency in Microsoft Word, Excel (VLOOKUPs, formulas, pivot tables), and PowerPoint.
- Highly detail‑oriented, organized, and able to handle multiple priorities.
- Ability to collaborate within cross‑functional teams.
- Experience with Salesforce is a plus.
