We support multiple Farmers Insurance agency owners by helping them grow, staff, and scale their agencies. Our recruiting team plays a critical role in building strong talent pipelines and ensuring a smooth, professional hiring experience for candidates and agency owners.
We are seeking a Recruiting Process Administrator to support our recruiting department through organization, tracking, and candidate coordination.
Position OverviewThe Recruiting Process Administrator is a key administrative and operational role within our recruiting department. This individual will be responsible for managing job postings, tracking candidates throughout the hiring process, maintaining accurate records, coordinating appointments, and conducting initial phone interviews.
This role is ideal for someone who is highly organized, detail-oriented, and comfortable working with systems, processes, and people.
Key ResponsibilitiesRecruiting Administration & Process Management
Post and manage job openings across multiple job boards
Track and update candidate statuses throughout the hiring pipeline
Maintain accurate and up-to-date candidate records and documentation
Ensure recruiting trackers and systems are consistently maintained
Candidate Coordination & Communication
Conduct initial phone screening interviews with candidates
Schedule interviews and coordinate next steps
Serve as a primary point of contact for candidates during early stages
Provide timely follow-up and clear communication throughout the process
Appointments & Onboarding Support
Track candidate appointments to carriers and licensing milestones
Assist with onboarding coordination and documentation
Support recruiters and leadership with pipeline reporting and updates
Team & Operational Support
Partner with recruiters, agency owners, and district leadership
Follow established recruiting workflows and compliance requirements
Identify opportunities to improve efficiency and organization within the process
Strong organizational and time-management skills
Excellent written and verbal communication abilities
Comfortable conducting professional phone conversations
Detail-oriented with the ability to manage multiple candidates at once
Proficient with Microsoft Office (Outlook, Excel, Teams)
Someone who enjoys process, tracking, and operational consistency
A professional who is confident speaking with candidates by phone
A self-starter who can manage tasks independently while supporting a team
Someone interested in growing within recruiting & talent operations.
