The Opportunity:

The Office Coordinator serves as the first point of contact for all internal and external visitors and plays a key role in maintaining a professional, organized, and welcoming office environment. This position is responsible for managing front desk operations, supporting general office administration, supporting employee events as needed, and coordinating facility-related matters in partnership with the Director of Warehouse Operations. This position requires someone who is organized, service-oriented, proactive, and takes pride in creating a positive workplace experience for employees and guests.

Impact Front Desk & Reception
  • Greet and welcome all visitors, customers, vendors, and employees in a professional and friendly manner
  • Answer, screen, and direct incoming phone calls appropriately
  • Manage visitor sign-in procedures and notify employees of guest arrivals
  • Maintain a clean, organized, and professional reception area at all times
  • Receive and distribute mail and deliveries
Office Administration & Operations
  • Ensure headquarters is consistently clean, organized, and presentable, including front lobby, breakrooms, and conference rooms
  • Order, stock, and organize office supplies and refreshments
  • Set up snacks, beverages, and meals for meetings and employee events as requested
  • Assist with room setup and breakdown for meetings and internal events
  • Support Human Resources department logistically with employee events (room setup, ordering supplies, coordination assistance)
  • Maintain office equipment and coordinate service as needed
Facilities Coordination
  • Act as a central point of contact for facilities-related concerns
