SummaryThe Safety & Compliance Assistant supports department leadership by managing daily compliance activities related to driver qualification files, ELD logs, safety camera events, vehicle licensing, and fuel processes. This role maintains high-volume, audit-ready records in systems such as Tenstreet, Geotab, and Netradyne to ensure compliance with FMCSA and DOT regulations. The position also provides cross-functional support for fuel tax and vehicle licensing activities, including Comdata fuel card administration.
Dutiesand Responsibilities Driver Qualification (DQ) Management
- Maintain complete, accurate, and audit-ready Driver Qualification (DQ) files in Tenstreet.
- Verify new hires meet all requirements under 49 CFR Part 391.
- Run and track MVR, PSP, Clearinghouse, and prior employment verifications.
- Monitor and track CDL, medical certificates, endorsements, ELDT, and annual review deadlines.
- File road tests, training records, and updated driver documentation.
- Complete monthly DQ audits and report findings to the Safety Supervisor.
- Prepare DQ records for DOT audits, insurance requests, and claims.
- Review daily ELD logs for errors, violations, and missing or unassigned driving time.
- Assign unassigned driving time to the appropriate driver.
- Identify and elevate recurring Hours-of-Service (HOS) issues to leadership.
- Maintain accurate ELD records for internal and DOT audits.
- Provide log data to support coaching, corrective actions, and investigations.
- Review daily safety camera events and monitor driver safety scores.
- Identify high-risk behaviors such as distraction, speeding, and hard braking.
- Pull, document, and route video clips to Safety leadership for review.
- Track coaching activity and follow-up actions.
- Maintain camera event files for audits, training, claims, and investigations.
- Assist with Comdata fuel card activity, including receipt review and transaction validation.
- Monitor fuel usage trends, unusual transactions, and missing receipts.
- Support fuel tax (IFTA) reporting and related documentation.
- Assist with vehicle licensing, registrations, permits, and plate renewals.
- Maintain accurate fuel and licensing records in department systems.
- Provide backup support during peak periods or staffing gaps.
- Process new hire safety packets and verify completion of all required documentation.
- File and update compliance documents in Tenstreet and internal systems.
- Track alerts for expired or missing CDL, medical, training, or compliance items.
- Maintain organized, audit-ready safety and compliance files.
- Support safety meetings and department reporting needs.
- Run scheduled MVR and Clearinghouse checks.
- Review DVIRs for missing inspections or overdue repairs.
- Prepare weekly safety and compliance summaries for leadership.
- Complete monthly DQ and training audits.
- Assist with CSA trend analysis and crash documentation.
- Support insurance and legal teams with requested compliance records.
- Ensure compliance with FMCSA and DOT regulations, including Parts 40, 382, 383, 387, and 390–399.
- Maintain accurate records for DOT audits, safety reviews, and regulatory inquiries.
- Escalate regulatory questions or concerns to department leadership as needed.
Additional duties and projects may be assigned as needed.
Qualifications and Work Experience- High school diploma or equivalent required; associate’s degree or coursework in transportation, safety, or business preferred.
- 1–3 years of experience in trucking, transportation safety, DOT compliance, or fleet operations preferred.
- Working knowledge of FMCSA and DOT regulations strongly preferred.
- Experience using Tenstreet, Geotab, Netradyne, or similar safety and compliance systems is a plus.
- Strong attention to detail with the ability to maintain accurate, audit-ready records.
- Working knowledge of DOT, FMCSA, and driver qualification requirements.
- Ability to analyze compliance data, identify trends, and elevate risks.
- Strong organizational and time-management skills in a high-volume environment.
