The Supervisor, Administration for PRCS will oversee Provider Subcontracts pertaining to LA County Probation reporting requirements, Subcontractor Agreement compliance, work in conjunction with the PRCS Program Manager and Billing Lead on Invoices, Monthly Reports and Performance Measures, scheduling system-wide and individual provider trainings, Subcontractor Program Accountability, hiring and new staff orientation, travel and staff mileage. Oversees the administrative and contractual responsibilities for the PRCS contract and other projects under the purview of the PRCS Director, administratively manages the project sites and serves as main administrative contact liaison for HR 360 and LA County Probation.
Supervises the Data Entry and Transportation staff.
Administrative Responsibilities:
- Ensures that subcontractor files contain and upkeep all pertinent documents, including up-to-date insurances, etc.
- Contributes to and documents staff meetings to address programmatic and/or personnel matters, program and operational issues, and to assist in resolving problems that may exist.
Compliance Responsibilities:
- Develop spreadsheets and reports for analysis of expenditures and annual projections.
- Develop Reports for Funding Sources and Internal Management Teams.
- Oversees purchases and maintenance to assure office supply and equipment needs are met.
- Correspond with service network providers to resolve conflicts and maintain administrative contractual compliance.
- Maintain participant and personnel files in accordance with compliance requirements.
- Coordinate state clearances for staff entering institutions.
- Maintains and monitors community-based provider contract compliance.
Employee Relations Responsibilities:
- Assist in the hiring process and termination process.
- Prepare and present all new PRCS employee orientation and processes new hire paperwork.
- Participate in the orientation of new staff.
- Ensure that all HR and payroll documentation is transmitted to the corporate office in addition to constant communication with HR and payroll for quality control.
- Prepare and process all staff incident reports and worker’s comp information.
Education, Certification, and Experience
Required:
- Two completed years of college coursework or five years administrative experience in projects of similar size and budgets
- Thorough knowledge of Microsoft Office (Word, Excel, Power Point, Access)
- Excellent written and verbal communication skills
- Cannot be on active probation or parole or have pending criminal charges
- Experience working with criminal justice population
