Overview
The Administration Lead will support the Children and Young People Primary Mental Health Service at Blackpool Teaching Hospitals NHS Foundation Trust. This role provides comprehensive secretarial and administrative services to the Mental Health Support Team, Primary Mental Health Workers and Wellbeing Practitioners.
Responsibilities- Act as a personal assistant to the team manager, managing calendars, answering telephone calls, handling enquiries and preparing agendas.
- Prepare minutes of meetings, type reports, and conduct quality checks on documentation.
- Plan, schedule and record all meetings, including booking rooms and maintaining shared drive filing systems.
- Update and maintain appointment spreadsheets and other administrative systems to ensure efficiency.
- Handle clinical correspondence such as referral letters, appointment letters, discharge letters to schools and GPs, and urgent letters with tact and sympathy.
- Support induction, mandatory training, recruitment and annual leave procedures in line with trust policies.
- Assist with administration of key performance indicator reports and other requested data.
- Lead initiatives to adopt new working practices, technology and procedures, offering training and support to fellow staff.
- Strong team player with the ability to motivate and support colleagues.
- Previous experience of line management or leading/coordinating an administrative service.
- Excellent organisational, communication and keyboard skills.
- Proficiency in Microsoft Office (Word, PowerPoint, Excel).
- Capacity to work autonomously, prioritise workload and meet deadlines.
