Imagination ABA Therapy is a growing, BCBA‑owned and operated Applied Behavior Analysis (ABA) agency serving children and families across New Jersey. We are seeking a reliable, detail‑oriented Office Associate / Case Manager to join our in‑office team in Lakewood, NJ. The role is ideal for someone familiar with ABA services who enjoys organization, coordination, and supporting both families and clinical staff in a fast‑paced, mission‑driven environment.

Base pay: $20.00/hr – $35.00/hr. Imagination ABA Therapy provides this range; your actual pay will be based on your skills and experience. Talk with your recruiter to learn more.
Position OverviewThe Office Associate / Case Manager plays a key role in managing new client intakes, supporting ongoing cases, and ensuring smooth administrative and operational workflows. This individual will act as a point of contact for families, staff, and internal teams while maintaining accurate records and systems, including Central Reach.
Key Responsibilities- Manage new client inquiries from initial contact through onboarding.
- Conduct intake calls with families and gather required documentation.
- Coordinate assessments, authorizations, and service start dates.
- Maintain ongoing communication with families regarding case status.
- Track authorizations, reauthorizations, and required paperwork.
- Maintain accurate client and staff records in Central Reach.
- Assist with scheduling, updates, and coordination between BCBAs and BTs.
- Support compliance with internal procedures and payer requirements.
- Handle phone calls, emails, and general office correspondence.
- Assist leadership with administrative tasks and special projects as needed.
- Use Central Reach for client records, scheduling, and documentation.
- Ensure data accuracy and timely updates across systems.
- Flag missing information, expiring authorizations, or incomplete files.
- Willing to train the right candidate.
- Familiarity with ABA services and terminology.
- Strong organizational skills and attention to detail.
- Excellent communication skills (phone, email, and in‑person).
- Ability to manage multiple tasks and prioritize effectively.
- Professional, warm, and family‑centered demeanor.
- Comfortable working full‑time in an office setting.
- Experience with Central Reach.
- Prior ABA office, intake, or case management experience.
- Experience working with insurance authorizations or healthcare documentation.
- Stable, in‑office position in a growing ABA agency.
