As an Administrative Assistant II, you will support our executive office and work closely with the Executive Assistant who supports our CEO, providing essential administrative support to ensure smooth operations at the highest level of the organization. Responsibilities
  • Performs moderately complex administrative duties where judgment and analysis are required in resolving problems and making recommendations.
  • Performs administrative tasks that are routine and non-routine in nature specific to the position or department.
  • Establishes, implements, and maintains procedures and systems for processing work, cyclical tasks and projects, communicating schedules, keeping records, board meetings, special council meetings, agendas, etc.
  • Coordinates travel, workshops and meetings, and reviews meeting expenses for payment.
  • Performs orders, maintains office supplies, and arranges for equipment maintenance.
  • Composes correspondence, establishes formats, and edits work for content.
  • Establishes, revises, and maintains office systems that require knowledge of department operations and an effective retrieval system.
  • Performs searches as requested, or in conjunction with other assigned duties, and maintains appropriate controls over materials taken out of the filing system.
  • Identifies process improvements where necessary and assists in planning and implementing new procedures and programs.
  • Develops or participates in preparation and completion of special projects, particularly presentations.
  • Documents standard operating procedures, prepares reports, compiles data for analysis, coordinates activities, investigates and resolves problems, and handles special projects.
  • Operates routine and non-routine office-related equipment and uses word processing, spreadsheets, databases, presentation applications and virtual meeting tools.
  • Coordinates activities between departments and outside parties, and communicates with company personnel at various levels to gather information and prepare reports.
  • Performs general reception duties as needed and may participate in preparation and completion of special projects.
Minimum Qualifications

Education
High school diploma or GED.

Experience
Minimum 3 years experience.

Skills
Knowledge and use of relevant PC software applications; demonstrated ability to communicate effectively verbally and in writing; good knowledge of math principles, English, and spelling; strong interpersonal skills; ability to maintain confidentiality; ability to plan and meet deadlines; self-direction with minimal supervision; problem-solving with creative solutions; ability to organize meetings, travel, and other arrangements; ability to work in an environment with interruptions;

ability to handle high-volume, confidential and complex administrative work; good working knowledge of company policies and procedures; understands total process flow; considers customer impact when making decisions; strong ability to use virtual meeting and collaboration tools.

An equivalent competency level acquired through a variation of these qualifications may be considered.

Physical Requirements
  • Typical Office Environment requirements include reading, speaking, hearing, close vision, walking, bending, sitting, and occasional lifting up to 20 pounds.
