Position SummaryThe Payroll Tax and Compliance Administrator maintains federal and state regulatory requirements for multiple entities. This position is responsible for weekly and biweekly tax withholding payments, monthly and quarterly regulatory filings, auditing payroll records for accuracy, and responding to regulatory inquiries. The Tax and Compliance Administrator is also responsible for tracking and reporting workers compensation amounts to insurance carriers. Additionally, the Tax and Compliance Administrator will support the union payroll department, complete annual W-2 processing, and fulfill other duties as assigned.
The Tax and Compliance Administrator reports to the CFO but will work with the company’s Controller on a day-to-day basis.
- Direct and oversee the company’s federal and multi-state (primarily OR and WA) payroll tax compliance for multiple entities.
- Interpret and apply complex federal, state, and local payroll tax laws and union agreements.
- Lead preparation and coordination for accurate and timely monthly, quarterly, and annual federal, city and state filings for multiple entities.
- Evaluate payroll tax risk exposure and recommend corrective actions to senior leadership.
- Lead annual W2 processing for craft employee payroll.
- Manage workers compensation auditors to comply with regular audits associated with company wide and/or project-based workers compensation policies (e.g., Owner Controlled Insurance Policy or Contractor Controlled Insurance Policy).
- Provide oversight and guidance to craft payroll functions, processing final/layoff payments for craft employees, processing labor cost transfers, and weekly craft payroll processing.
- Collaborate cross-functionally with Finance and leadership to ensure regulatory compliance and operational alignment.
- Serve as internal compliance advisor on payroll tax matters.
- Provide outstanding service through timely and effective follow-ups and communications with both internal and external customers.
Skills And Abilities
- Bachelor’s degree in Accounting, Finance, Business Administration, or related field preferred.
- Two-year associate degree with focus on accounting/bookkeeping or direct experience equivalent is required.
- 5+ years of experience in similar accounting role (i.e. payroll processing/compliance) is preferred.
- Certified Payroll Professional designation preferred, but not required.
- Knowledge of state, federal, local tax regulations and union agreement compliance is preferred.
- Proficient working knowledge of Microsoft Word 2016, Excel 2016, Outlook 2016, and ability to work well within a network environment.
- Experience/working knowledge of accounting software JD Edwards or similar ERP software is preferred.
- Ability to function in a deadline-oriented environment.
