Immediate Opening – Medical / Legal Administrative Assistant

We are seeking a highly organized, detail-oriented Administrative Assistant to support our Personal Injury and Lien Services operations. The ideal candidate has experience working with medical providers, law firms, and case-related documentation, and understands the importance of accuracy, confidentiality, and timely follow-up in a lien-based environment.

Required Skills & Experience
  • Data entry experience with a typing speed of 50+ WPM
  • Proficiency in Microsoft Office (Excel & Word)
  • Strong written and verbal communication skills
  • Ability to multitask and prioritize deadlines effectively
  • Professional, reliable, and detail-oriented
Job Summary

This position provides administrative and operational support across departments while serving as a point of contact for clients and vendors.

Key Responsibilities
  • Answer and direct incoming calls; respond to client and patient inquiries professionally
  • Process incoming medical and legal paperwork; scan, upload, and distribute documents electronically
  • Process payments and maintain transaction records
  • Maintain accurate physical and electronic records related to cases, patients, and billing
  • Manage, monitor, and follow up on patient and/or client accounts
  • Coordinate with internal departments
  • Schedule meetings; maintain calendars
  • Request, collect, and organize medical records and billing documentation
  • Draft and distribute professional emails, correspondence, and internal memoranda
  • Assist with developing, updating, and maintaining office procedures and compliance standards
Qualifications
  • Previous experience in a medical, legal, or administrative office preferred
  • Strong customer service and interpersonal skills
  • Excellent organizational and time-management abilities
  • Familiarity with medical records, legal documentation, or case management systems is a plus
  • Proficiency with Microsoft Office and Adobe software
