Overview

Job Title: Executive Assistant to the CEO

Location (city, state): Foothill Ranch, CA (Hybrid/Onsite)

Compensation: $100,000 - $105,000

Industry: Private Equity-Backed / High-Growth

About Our Client: Our client is a fast-paced, high-growth organization backed by private equity, focused on transformative initiatives and operational excellence. They are seeking an experienced Executive Assistant to support their CEO and enable organizational efficiency at the highest level.

Responsibilities
  • Executive Calendar & Priorities: Proactively manage a dynamic CEO schedule, anticipate conflicts, and protect executive focus. Prioritize engagements based on strategic importance and business needs.
  • Travel & Logistics: Plan and coordinate domestic and international travel, multi-city itineraries, and accommodations efficiently, ensuring smooth execution and minimal disruption.
  • Email & Communications: Triage and manage the CEO’s inbox, draft responses, highlight critical issues, and maintain professional correspondence on the executive’s behalf when needed.
  • Board & Leadership Meeting Support: Organize board meetings, executive sessions, and leadership offsites, including agenda preparation, material distribution, and secure handling of sensitive documents.
  • Expense & Administrative Management: Oversee executive expense reports, ensure compliance with policies, and manage office administrative needs.
  • Office & Facilities Coordination: Manage executive office operations, vendor relationships, access, and logistics to maintain a professional work environment.
  • Process & Technology Optimization: Utilize AI and other tools to improve scheduling, summarization, prioritization, and workflow efficiency. Continuously refine support processes.
  • Confidentiality & Judgment: Handle sensitive information with discretion and exercise sound judgment in high-stakes situations.
Qualifications
  • Bachelor’s degree or equivalent experience required.
  • 7–10+ years of experience supporting a CEO or C-suite executive in a fast-paced, high-demand environment.
  • Demonstrated ability to manage complex schedules, priorities, and executive communications.
  • Comfortable engaging with board members, investors, and senior leadership.
  • Advanced proficiency in Microsoft Office Suite, Outlook, Teams, and expense systems.
  • Experience using AI or other productivity tools to optimize workflow.
  • Exceptional organizational, communication, and problem-solving skills.
