The Office of the COO is seeking a collaborative and detail-oriented Organizational Change Management (OCM) Coordinator to provide technical, procedural, and project support for the agency’s ERP replacement initiative. This position supports change management communications, stakeholder engagement, and project coordination activities that help employees understand, prepare for, and adopt new systems and business processes.

Working under general supervision, the OCM Coordinator performs technical support tasks, assists with development of communication materials, maintains project records, and coordinates assigned responsibilities with internal departments and project partners. This role requires the ability to work independently within defined guidelines, conduct research, prepare reports, and provide informational assistance to staff regarding change-related communication practices.

Responsibilities
  • Perform technical support, procedural tasks, and project assistance related to change management communications and stakeholder engagement activities.
  • Support the development and maintenance of project communication plans, stakeholder lists, content calendars, and feedback mechanisms.
  • Develop, update, and maintain procedure manuals, FAQs, talking points, and communication materials in support of the ERP project.
  • Conduct research and analysis related to stakeholder readiness, communication effectiveness, and change impacts; prepare reports of findings for use by project leadership.
  • Monitor communication activities to ensure alignment with policies, standards, and accessibility requirements.
  • Create and maintain project records, communication logs, tracking spreadsheets, and performance reports to support transparency and compliance.
  • Provide technical and informational assistance to departments and staff regarding communication practices that support change adoption.
  • Coordinate assigned communication and engagement responsibilities with internal departments, project team members, and vendors to ensure timely and accurate delivery.
  • Assist with preparation of presentations, reports, and materials for committees, project teams, and executive leadership.
  • Perform special projects in area of expertise, preparing summaries, forecasts, and reports for use by management.
  • Participate in meetings and committees as assigned.
  • Perform other duties as assigned.
Attributes for success
  • Knowledge of change management principles and employee engagement practices (PROSCI, ADKAR).
  • Knowledge of and ability to apply plain language standards, ADA accessibility requirements, and equity-centered communication practices.
  • Skill in performing technical support, procedural, and coordination tasks in a project environment.
  • Skill in researching issues, compiling information, and preparing summary and analytical reports.
  • Skill in developing and maintaining procedure manuals, guidance documents, and communication materials.
  • Ability to provide technical and informational assistance to staff in assigned area.
  • Ability to organize and maintain records, databases, and tracking systems.
  • Ability to coordinate work across departments and with project partners to ensure optimal results.
  • Ability to communicate effectively in writing, verbally, and electronically.
  • Ability to work independently within established guidelines.
  • Ability to establish and maintain cooperative working relationships with employees, leadership, union representatives, vendors, and other stakeholders.
  • Ability to use business computer software including Microsoft Office, SharePoint, and communication tools.
  • Ability to maintain confidentiality and use discretion with sensitive information.
