Administrative Operations Coordinator (Part-Time, 20–30 Hours/Week)

Birds Eye Medical is seeking a dependable and proactive Administrative Operations Coordinator to support our mobile clinic operations and vaccine management programs. What You’ll DoIn this pivotal role, you’ll ensure the smooth coordination and execution of our public health initiatives by handling a variety of administrative and logistical tasks:
Vaccine Management- Oversee vaccine inventory and maintain accurate records.
- Organize and prepare vaccine totes for mobile clinics.
- Monitor and document cold-chain temperature control.
- Track usage and report discrepancies promptly.
- Participate in on-call rotations for time-sensitive vaccine needs.
- Coordinate hotel bookings and travel logistics for clinic staff.
- Verify mileage and hours, ensuring accurate documentation.
- Assist with team scheduling to keep operations running seamlessly.
- Process clinic paperwork and data entry for insurance and immunization records.
- Maintain organized, up-to-date digital and physical records.
- Prepare and upload CIS files and verification forms for clinic use.
- Pack, track, and restock clinic supplies.
- Maintain inventory and communicate replenishment needs.
- Associate’s degree or equivalent experience preferred.
- Proven administrative or operations experience, ideally in healthcare, logistics, or nonprofit settings.
- Strong organization and multitasking skills.
- Excellent communication and data entry accuracy.
- Comfort using standard office software and digital tools.
- Compassion, reliability, and a true service mindset.
- Willingness to occasionally travel and support mobile clinics.
- Available for flexible hours including some evenings and weekends.
- Average 20–30 hours per week (schedule varies weekly).
- Some on-call flexibility may be required.
