Description

Gallagher Staging provides the foundation for premier events across the nation. We offer custom and rental staging for concerts, tours, red carpet events, award shows, corporate events, studio and television production, sports events, and more!

We are seeking an entry level Receptionist/Office Assistant to support our growing office needs and busy phones. The Receptionist/Office Assistant will be the first point of contact for Gallagher Staging and will provide excellent customer service to visitors to the office and via telephone.

Overview

The Receptionist/Office Assistant will manage incoming calls and assist the CEO and Office Manager with managing calendars and other administrative duties as assigned.

Examples of Duties/Essential Functions
  • Manage high-volume of incoming phone calls while providing excellent customer service
  • Screen phone calls to ensure transferred to appropriate team member
  • Greet clients and vendors at front desk with a positive and professional attitude
  • Assist in managing and updating CEO calendar
  • Provide general administrative support to various departments when requested
  • Prepare, sort and distribute incoming and outgoing mail
  • Assist with coordinating travel arrangements
  • Follow up with clients regarding recent orders
  • Maintain the front office area to present a clean and professional environment
  • Monitor and order office supplies to keep front office fully stocked
  • Assist Office Manager with varies administrative tasks when needed
  • Manage special projects for management
  • Other duties as assigned
Requirements
  • High school diploma or equivalent
  • Minimum 1-year experience working in a similar customer service role
  • Must have a friendly and positive attitude
  • Strong communication skills, both written and verbal
  • Proficient in computer software programs, particularly Google Suite products
  • Attention to detail and problem-solving skills
  • Excellent organization and planning skills
  • Available to work a full-time schedule with reliable attendance
