We are seeking a highly organized, detail-oriented part-time Executive Assistant to support our CEO and Director of Business Operations at a growing digital marketing agency.

DescriptionRole OverviewWe are seeking a highly organized, detail-oriented part-time Executive Assistant to support our CEO and Director of Business Operations at a growing digital marketing agency. This role blends executive administrative support with operational and financial coordination, making it ideal for someone who enjoys wearing multiple hats and playing a key role in keeping leadership focused and the business running smoothly. The ideal candidate is proactive, dependable, and comfortable working across leadership, finance, and client operations.
This position is part-time and in the office three days per week at our La Grange, IL headquarters, with flexibility within scheduled hours.
Key ResponsibilitiesExecutive Support (CEO)
- Manage and prioritize administrative tasks to support the CEO’s day-to-day workflow
- Assist with scheduling, meeting coordination, and preparation of materials as needed
- Manage first pass inbox triage and organization
- Ensure follow ups and commitments are honored
- Handle confidential information with discretion and professionalism
- Provide general administrative support to help streamline executive priorities
- Monitor executive team members’ inboxes during extended out of office time
Business Operations Support (Director of Business Operations)
Client & Revenue Operations
- Generate proposals and service agreements using company templates
- Prepare and send contracts for signature; track execution status
- Set up new clients in Quick Books Online, ensuring accuracy of customer records
- Create invoices, delayed charges, or recurring billing as directed
- Support client onboarding workflows in coordination with internal teams
- Pull financial and operational reports from Quick Books Online and other systems
- Assist with basic data validation and reporting preparation
- Coordinate check deposits and ensure payments are properly recorded
Administrative & Office Support
- Check and manage incoming physical mail at the office
- Assist with maintaining organized records (digital and physical)
- Support operational projects and ad-hoc administrative tasks as assigned
People Operations & Hiring Support (As Needed)
- Support recruiting and hiring workflows in partnership with the Director of Business Operations and hiring managers
- Post and manage job openings in Gusto and other approved platforms
- Conduct or coordinate reference checks as requested
- Prepare and send offer letters using company templates
- Assist with maintaining organized hiring and personnel records
- 1+ year of experience in an executive assistant, administrative, or operations support role
- Strong organizational skills with excellent attention to detail
- Experience with or willingness to learn Quick Books Online
- Comfortable handling financial-related tasks (invoicing, deposits, reports)
- Proficient with Google Workspace (Gmail, Drive, Docs, Sheets, Slides, Calendar)
- Strong written and verbal communication skills
- Ability to manage multiple priorities and meet deadlines independently
- Professional, reliable, and discreet when handling sensitive information
- Experience in a digital marketing, professional services, or agency environment
- Familiarity with proposal and contract workflows
- Experience working with leadership teams or supporting multiple executives
- Exposure to CRM, project management tools, or e-signature platforms
- Hourly pay range: $25-35 per hour, based on experience and qualifications
- RYTECH will provide a company-issued computer and the necessary tools to perform the role effectively
This is a part-time role and does not include company-sponsored benefits such as health, vision, dental insurance, retirement plans, or paid time off. That said, we value flexibility—team members are welcome to request unpaid time off with advance notice and manager approval.
