We are looking for an Operations Associate based to manage key back-end operations related to dispatch documentation, delivery/returns tracking, and courier reconciliations. This role requires strong attention to detail, ownership, and comfort working with Excel/Google Sheets.
Key Responsibilities
1) Commercial Documentation & Dispatch Support
Prepare and maintain invoices, packing lists, waybills/consignment notes , and other dispatch documents
Ensure documents are accurate and filed properly for easy retrieval
Coordinate internally to ensure dispatches are closed on time with complete documentation
2) Dispatch & Delivery Records
Maintain daily records of e-commerce dispatches and deliveries (delivered, pending, delayed, RTO, etc.)
Track exceptions and escalate issues to the relevant courier/marketplace support team
3) Returns & Ticket Management
Monitor marketplace returns and identify patterns/issues
Raise tickets with marketplaces/courier partners where applicable and follow up until closure
Maintain return status logs and keep internal stakeholders updated
4) Courier / Transport Payment Reconciliation
Reconcile courier/transport bills with dispatch data
Flag discrepancies (weight disputes, missing shipments, incorrect billing, etc.) and coordinate resolution
Support accounts/team in payment approvals with clear documentation and summaries
5) Reporting & Controls
Share basic weekly reporting on dispatch performance, returns, and reconciliations
Maintain process discipline and help improve accuracy and turnaround time
Candidate Profile
Must-have
Strong attention to detail and ability to manage operational data daily
Good working knowledge of Excel/Google Sheets (filters, pivots, VLOOKUP/XLOOKUP preferred)
Clear communication and consistent follow-ups with internal teams and external partners
Ability to handle routine tasks with accuracy and maintain records systematically
Preferred
0–3 years experience in e-commerce operations / logistics / dispatch / back-office operations
Familiarity with Amazon Seller Central or marketplace support/ticketing processes (preferred, not mandatory)
