The Loan Vault Operations Specialist is responsible for the tracking, organization and maintenance of both electronic and physical loan documents and client files.

Provide ongoing operational and administrative support in loan collateral and vault inventory. Provides copies of documents and files to associates as requested by electronic communications. Provide and maintain excellent services ensuring all inquiries are handled promptly and efficiently.

Duties and Responsibilities:

Collateral File Management & Imaging
  • Maintain collateral file by receiving files, loose document filing, and placement within the loan vault.
  • Images all loan, client, and financial documentation, as necessary.
  • Provides copies of documents, titles, and files to associates as requested by electronic communications in accordance with bank standards.
  • All CIT (Change in Terms) or loose items documents will be filed within 3 days of receipt.
  • Once the paid‑out report is received a total of 15 files will be worked daily to include review/shred.
  • Preparing and packaging closed files to be archived for offsite storage or destruction with bank standards.
Records Retention & Security
  • Maintain physical security of the loan vault, limiting access to authorized personnel only.
  • Create, maintain, and ensure accurate entries in records retention system(s).
Compliance, Training, & Additional Responsibilities
  • Perform collateral duties and special projects as assigned.
  • Required to stay up to date on all systems by attending webinars or classes as needed.
  • Complies with all applicable federal, state, and local banking and industry related laws and regulations including but not limited to the Bank Secrecy Act.
  • Other duties as assigned or needed.
Education and Experience
  • High School Diploma or equivalent.
  • 3 years of banking and customer service experience.
  • 1 year loan experience.

  • Knowledge, Skills, and Abilities
    • Ability to apply knowledge and sound judgment in decision-making using established guidelines.
    • Excellent customer service skills.
    • High level of integrity.
    • Must be capable of handling confidential information in a trustworthy manner.
    • Self-starter.
    • Must be able to prioritize and organize daily workflow.
    • Must possess the ability to handle multiple tasks simultaneously, with frequent interruptions.
    • Demonstrates the ability to maintain a positive attitude.
    • Detail oriented and ability to function in a team environment.
    • Willing to accept new ideas and methods and be agreeable to change.
    • Proficient level of computer competency including Microsoft Windows (Word, Excel, Outlook), and typing.
    • Strong written and oral communication skills.
    • Able to maintain regular and predictable attendance.
    Work Conditions
  • Able to sit for long periods of time.
  • Frequent and regularly required movements using wrists, hand and/or fingers.
  • Ability to hear average or normal conversations and receive ordinary information.
  • Must be available to work the required schedule of the department.
  • May be required to travel to training sessions or meetings.
