Our client in Waterloo Region, ON is actively looking for a Construction Project Administrator to join their team.

Position

Description:

This role will provide comprehensive administrative support to the Construction team, ensuring smooth project coordination, accurate financial tracking, and effective documentation control across multiple construction sites.

Key Responsibilities:
  • Provide administrative support to Construction Managers, Project Managers, and Foremen
  • Set up purchase orders for subcontractors, suppliers, and manufacturers
  • Enter and process change orders and project data within SAP project modules
  • Act as Business Key User (BKU) for project modules
  • Maintain and update Work in Progress (WIP) forecast sheets
  • Update and distribute construction schedules regularly
  • Prepare and complete progress invoices for multiple construction sites
  • Work closely with the Accounting team to track project expenses and timesheets
  • Book labour hours to projects and ensure labour rates align with installer levels
  • Create, log, and track project communications and documentation
  • Prepare project start-up binders and manage site document control
  • Participate in operational meetings including project delivery meetings, staff meetings, and project reviews
  • Prepare project close-out documentation
  • Support accounting operations within the Medical Gas Construction division and contribute to process improvements
  • Ensure transactions comply with internal financial policies and procedures
  • Assist the Business Controller with reporting and special projects as required
  • Perform other related duties as assigned
  • Skills &

    Qualifications:

  • Post-secondary education in Construction Management or equivalent combination of education and experience
  • – years of project administration experience within the construction industry
  • Previous experience in financial accounting and business administration
  • Field experience in construction considered an asset
  • Expertise in SAP
  • Proficiency in MS Office Suite
  • Experience with project or construction management software (, Bluebeam, Job Progress) considered an asset
  • Bilingual in English and French (spoken and written) considered an asset
  • Strong organizational, interpersonal, and problem-solving skills
  • Excellent written and verbal communication skills
  • Strong analytical ability and attention to detail
  • Ability to collaborate across departments and all organizational levels
  • Additional Details:
  • Up to hours per week
  • Monday to Friday, : AM – : PM
  • In-office role in Cambridge, ON
