to join our team in our Waterloo office!
We are seeking a friendly, organized, and proactive individual to serve as the welcoming face of our office and a key support to our team. In this role, you will help create a positive, professional, and well-organized office environment for clients, visitors, and employees alike. Beyond greeting guests, you will take ownership of the overall office experience—ensuring day-to-day operations run smoothly through administrative support, coordination, and supply management.
This role offers an excellent opportunity for someone interested in building a long-term career in insurance, with support provided to obtain a RIBO (Registered Insurance Brokers of Ontario) license and grow within the organization.

Your day as a
receptionist & administrative assistant
Be the ultimate first impression—warm, professional, and approachable.Answer phones, respond to emails, and assist visitors or guests with confidence and clarity.Ensure the office is consistently well-presented, orderly, and professional in appearance.Order all office and kitchen supplies and manage inventory efficiently.Manage office services and daily operations, including mail distribution, delivering registered letters to the post office, maintaining staff areas, restocking coffee supplies, running the dishwasher, and watering plants.Provide administrative, scheduling, and coordination support to the leadership team.Collaborate with the service team to complete administrative tasks and deliver high-quality client support.Take on new challenges and advance your career through RIBO licensing and professional development opportunitiesOur ideal candidate
1–3 years of experience in an administrative, office, or customer service support role (insurance experience is an asset)A people-focused professional with strong verbal and written communication skillsHighly organized, detail-oriented, and able to manage multiple priorities in a fast-paced environmentProactive and resourceful, with a mindset for continuous improvement and finding efficienciesTechnically proficient, with strong working knowledge of Microsoft Office and the ability to adapt to new systemsA positive, team-oriented individual eager to build a long-term career and grow within the insurance industryThis posting is for an existing vacancy.
The expected salary for this role ranges from $40,000 to $55,000. Annual salary will be determined by factors including prior experience, location, business segment, and relevance of the candidate’s skills to the role.
