Location: Waterloo

Scanning Clerk
On-site contract role in the insurance industry supporting high-volume document scanning and imaging for health, dental, and wealth management operations. This position focuses on mail preparation, high-speed scanning, workflow monitoring, and data accuracy in a confidential, process-driven environment with potential long-term opportunities.
What is in it for you:
• Hourly salary of $18 to $20, based on experience.

• 4-month contract with the potential for permanent employment.

• Full-time position: hours per week.

• Weekday schedule from 9:00 am to 5:00 pm.

• On-site work in a dynamic environment.
Responsibilities:

• Open, prepare, and sort incoming mail for digital imaging and downstream processing.

• Review and analyze document content to determine the appropriate business unit.

• Apply correct tracking and indexing methods for defined mail streams and workflows.

• Perform high-volume document scanning using high-speed production scanners.

• Monitor workflow queues and identify, troubleshoot, and escalate imaging issues as needed.

• Handle documents and scanned boxes in accordance with safety and confidentiality requirements.

• Collaborate closely with team members to meet daily service levels and deadlines.
What you will need to succeed:
• High school diploma or equivalent.

• 1 year of experience operating office equipment, including scanners, printers, or related devices.

• Demonstrated ability to troubleshoot minor hardware and software issues.

• Comfort with technology and ability to quickly learn internal systems and tools.

• Physical ability to lift and move boxes weighing approximately 20–30 lbs.

• Strong organizational and time management skills.

• High attention to detail and accuracy in repetitive, process-driven tasks.

• Ability to work independently while contributing effectively within a team environment.

• Clear communication skills and a customer-focused mindset.

• Demonstrated PC skills and general computer proficiency.

• Knowledge of insurance or business-unit document types is considered an asset.
