The DOT Compliance Assistant provides essential administrative and operational support for the Walt Disney World® Resort’s Department of Transportation (Use the "Apply for this Job" box below). and Alcohol (D&A) Program. This role supports both DOT‑regulated and non-DOT testing programs and ensures compliance with Federal Motor Carrier Safety Administration (FMCSA), Pipeline and Hazardous Materials Safety Administration (PHMSA), State of Florida, and internal company standards. The ideal candidate is detail-oriented, highly organized, and committed to maintaining regulatory accuracy and confidentiality.
What You Will Do:- Support administration of WDW’s DOT and non-DOT Drug and Alcohol Testing Programs in alignment with FMCSA and PHMSA regulations.
- Create, maintain, and archive all program files in the designated system of record.
- Coordinate testing schedules with operational leadership and ensure Cast Members report for required testing.
- Assemble and maintain Driver Qualification Files in compliance with federal and state regulations.
- Process new hire documentation, including entering data into D-Learn, SAP, and other compliance systems.
- Scan, file, and organize DQF documents to ensure accuracy, completeness, and audit readiness.
- Initiate, obtain, and evaluate Motor Vehicle Reports for new hires and existing drivers.
- Verify MVR results meet WDW and regulatory driving criteria and raise discrepancies as needed.
- Assist with internal and external audits by preparing documentation, reports, and evidence of compliance.
- Work collaboratively with the DOT Compliance team to ensure timely responses to regulatory inquiries.
- Participate in departmental projects and continuous improvement initiatives.
- Support special assignments and tasks as directed by the DOT Compliance Manager.
Qualifications & Skills:
- Strong attention to detail with the ability to follow structured processes and regulatory requirements.
- Excellent organizational and time‑management skills.
- Ability to handle confidential and sensitive information with discretion.
- Proficiency with Microsoft Office applications and experience with digital filing systems.
- Strong written and verbal communication skills.
- Ability to work independently and within a team environment.
- Familiarity with FMCSA and PHMSA regulations.
- Experience with SAP, D-Learn, or similar HRIS/compliance platforms.
- Previous administrative experience in transportation, safety, or compliance-related fields.
