Administrative Assistant at Leland Management

In this role, you will provide clerical/administrative support to the Association and help maintain an efficient office environment. Project a professional, positive image through in-person and telephone interaction, maintaining discretion in all business dealings.
Role Responsibilities- Serve as office receptionist, greeting residents and visitors.
- Answer phones, route calls, and take accurate and timely messages.
- Compose, type, and word process documents as needed.
- Assist homeowners with Association Community Committee (ACC) applications.
- Assist ACC Committee and prepare meeting packets for review and approval.
- Support activities team in social events and flyer creation.
- Assist with inspections of homesites for compliance, notifying owners of required actions.
- Monitor and update community bulletin boards and forms display.
- Receive, sort, and distribute incoming mail; prepare outgoing mail for distribution.
- Update website and generate eblasts and newsletters.

- Maintain office filing and storage systems.
- Maintain and update resident databases (lists, contacts, homeowner information).
- Maintain adequate stock of office supplies.
- Ensure office equipment is properly maintained and serviced.
- Keep office areas clean, free of clutter, and professional appearance.
- Perform daily computer work, including e‑mail traffic, electronic calendar, and other software.
- Conduct new owner orientation, including processing amenity cards and vehicle decals.
- Assist residents with new amenity cards, vehicle decals, new lease as needed.
- Generate and monitor work orders through completion in coordination with the General Manager, communing with maintenance staff or vendor.
- Other office duties as assigned by manager or Association.
- Proficient in the English language, both oral and written. Portuguese language proficiency is a plus.
- Excellent people and communication skills, with emphasis on telephone protocol.
- Internet skills, including e‑mail system, group messaging, and information gathering.
- Proficient in MS Office applications (Word, Excel, PowerPoint, database management).
- Self‑starter, self‑motivated, flexible, organized, able to prioritize and work with minimal supervision.
