Responsibilities

The Patient Service Associate is responsible for ensuring smooth clinic, patient, and billing flow by greeting and directing patients to their various appointments, preparing the daily clinic schedule, updating physician schedules, maintaining patient files and records, interfacing with corporate departments, and handling patient questions.

  • Handle high volume incoming calls.
  • Review charts and insurance referrals/authorizations and take appropriate action to assure proper maximal reimbursement.
  • Assist physicians and/or administrators in all business and patient care responsibilities.
  • Coordinate office communication flow.
  • Communicate effectively and courteously with patients and families, demonstrating a caring attitude.
  • Greet, direct, and assist large numbers of visitors, referring visitors to various areas.
  • Ensure accurate patient demographic and insurance information.
  • Answer telephones using correct etiquette, record legible messages, transfer calls appropriately, and contact physicians, insurance companies, hospitals, diagnostic facilities, and billing departments as necessary.
  • Review patient intake information to verify insurance coverage.
  • Verify patient insurance information, call for insurance authorization, and update patient address and telephone.
  • Schedule new and follow‑up appointments, including patient testing.
  • Act in a non‑directive, non‑judgmental manner, respecting individuals’ religious, ethical and moral opinions.
  • Bring new ideas, a positive attitude, and lots of energy.
  • Maintain and record patient schedule.
  • Identify and collect co‑pays, deductibles, and other payments.
  • Reconcile patient payments daily against the cash box and receipt journal.
  • Prepare billing sheets and review them to ensure all necessary information (physician name and number, patient name and number, insurance code, referring physician and code) is included.
  • Direct billing inquiries to the appropriate Regional Office.
  • Ensure clinical staff submits all outpatient billing sheets daily.
  • Maintain patient confidentiality.
  • Manage patient charts: preparation, maintenance, filing, copying, and record requests.
  • Provide assistance to other team members when needed.
  • Perform other duties as assigned.
  • Assure all charge tickets are accounted for and checked against patient sign‑in sheet and schedule for optimal billing.
  • Display exceptional customer service skills in responding to inquiries from patients, insurance carriers, outside agencies, internal departments, and coworkers.
  • Daily review of charts for next‑day appointments to verify referral and authorization information.
  • Coordinate flow of insurance information with clinic sites and corporate office.
  • Enter data for registration.
  • Request insurance codes as needed.
  • Maintain audit logs of billings.
  • Manage reception desk and telephones as needed.
Qualifications
  • High School diploma or equivalent required.
  • 1–2 years of medical office experience preferred.
  • Ability to prioritize tasks and meet deadlines.
  • Ability to handle multiple tasks simultaneously.
  • Superior customer service and verbal and written communication skills.
  • Strong computer knowledge; experience preferred.
  • Team‑oriented and cooperative.
  • Ability to handle stressful situations.
  • Excellent organizational, time‑management, and attention‑to‑detail capabilities.
