Maintco is a locally‑owned, fast‑moving general contractor specializing in mitigation, restoration, and capital improvement projects for property managers, HOAs, and commercial clients across the Puget Sound region. We’ve built our reputation on responsiveness, integrity, and quality. We’re growing and adding an experienced Project Administrator to join our operations team in Kirkland. This role is the heart of the project, keeping communication, documentation, and billing on track from intake to completion.
TheOpportunity
As Project Administrator, you’ll own the administrative side of each project lifecycle ensuring accuracy, accountability, and timely execution across every phase. You’ll coordinate between estimators, project managers, clients, and accounting to keep each job organized and profitable. This is an office‑based role, ideal for someone who’s at home in the details, thrives under deadlines, and loves seeing a project move cleanly from start to finish.
WhatYou’ll Do
- Create and maintain job files from intake to closeout in DASH and Quick Books
- Schedule site visits for project managers and estimators
- Communicate with property managers, homeowners, and internal team members to track project progress
- Manage project documentation, including contracts, change orders, and client correspondence
- Job cost, invoice, and manage accounts receivable for assigned projects
- Ensure compliance with company processes, billing accuracy, and timely follow-up on outstanding items
- Support accurate data flow between field and office to keep leadership informed
- 3+ years of experience in construction administration, project coordination, or bookkeeping
- Strong proficiency in Microsoft Office and project management/accounting software (experience with DASH or Quick Books a plus)
- Impeccable attention to detail and comfort managing multiple priorities under tight deadlines
- Excellent written and verbal communication skills
