Accounts Payable Clerk (Administrative)

We are seeking a detail-oriented and organized Accounts Payable Clerk to join our team. This position is responsible for compiling and maintaining accounts payable records and ensuring the accuracy and timeliness of all invoice payments. The ideal candidate will thrive in a fast-paced environment and demonstrate strong organizational, analytical, and communication skills.

Essential Responsibilities
  • Review all invoices for appropriate documentation and approval prior to payment
  • Enter, scan, and file invoices and reports into document management systems
  • Select approved payments from aging reports and prepare weekly check runs
  • Prepare and process weekly check runs, to include taking deposits to the bank
  • Match invoices to checks for payment processing
  • Print, obtain signatures, and distribute accounts payable checks
  • Respond to vendor inquiries in a professional and timely manner
  • Audit vendor statements to verify invoice receipt and obtain missing invoices
  • Verify resident insurance information for medical claim payment responsibility
  • Maintain accounts payable reports, spreadsheets, and corporate files
  • Record processed checks into checkbooks
  • Assist corporate financial officers and accounting personnel
  • Assist with monthly closings and prepare account analyses as required
  • Maintain petty cash for facilities
  • Process 1099s and maintain current vendor W-9s
  • Escheat unclaimed checks to the state as required
  • Sort and distribute incoming mail when assisting Reception
  • Perform filing, copying, and other related duties as assigned

Knowledge Requirements
  • Principles and practices of accounts payable
  • Safety rules, infection prevention, and control procedures
  • Resident Rights and identification of abuse/neglect
  • Facility emergency and disaster response procedures
  • Traffic and highway safety regulations
Physical & Working Conditions
  • Prolonged periods sitting at a desk and working on a computer
  • Frequent standing, walking, and use of hands and arms
  • Occasional lifting up to 25 pounds
  • Visual acuity required for reviewing financial documents
  • Ability to operate office equipment including computer, 10-key calculator, and copier.
Minimum Qualifications
  • High school diploma or equivalent
  • Clerical experience (healthcare industry preferred)
  • Basic computer and internet knowledge
  • Telephone and customer service experience

    Valid Arizona Drivers License
Special Requirements
  • Annual Tuberculosis testing
  • Maintain Arizona Department of Public Safety Fingerprint Clearance Card (employee expense)
  • Provide driving record from Arizona Department of Motor Vehicles (employee expense)
  • Comply with federal, state, and local communicable disease testing requirements
