The Executive Administrative Assistant provides high-level administrative and operational support to the CEO and CFO of a fast-paced, private-equity-backed franchising organization. This role serves as a strategic partner, ensuring executive priorities are executed efficiently while managing complex schedules, Board of Directors coordination, investor communications, and cross-functional initiatives. The ideal candidate thrives in a confidential, high-accountability environment and demonstrates strong judgment, professionalism, and the ability to anticipate executive needs while balancing franchise operations, financial deadlines, and governance requirements.
ResponsibilitiesExecutive Support
- Manage complex calendars, meetings, and multi-time zone travel logistics for CEO and CFO, including stakeholder coordination and catering arrangements.
- Prioritize competing demands aligned to strategic goals.
- Prepare presentations, briefing materials, and reports for internal leadership, franchise partners, and external stakeholders.
- Screen calls, draft correspondence, and manage sensitive information with discretion.
- Coordinate Board of Directors meetings, committee meetings, and investor updates.
- Track action items and follow-ups from board meetings and executive leadership sessions.
- Support CFO with financial calendar activities such as budgeting cycles, forecasting timelines, audits, and reporting deadlines.
- Track key performance metrics and assist with the preparation of reporting dashboards.
- Coordinate cross-functional initiatives between finance, operations, franchise development, and executive leadership.
- Serve as a liaison between executive leadership and franchise owners/operators when appropriate.
- Support franchise conferences, leadership meetings, and company-wide events.
- Manage expense reporting and invoices.
- Maintain organized digital and physical filing systems.
- Coordinate internal meetings, offsites, and leadership retreats.
- Improve administrative workflows and implement tools that increase efficiency.
- Oversee personal and business administrative matters with a high level of discretion.
- At least 15 years of executive administrative support experience at the C-suite level (CEO, CFO, or equivalent).
- Bachelor’s degree preferred or equivalent professional experience.
- Experience supporting private equity environments, franchising organizations, or multi-unit operations strongly preferred.
- Demonstrated experience coordinating Board of Directors meetings and executive governance processes.
- Exceptional organizational, communication, and problem-solving skills.
- Strong financial acumen and comfort working with financial documents and reporting timelines.

Ability to thrive in a fast-paced, high-growth environment - Technology proficiency (Microsoft 365, Google Workspace, virtual meeting tools, project management platforms)
- Occasional travel may be required for Board meetings, leadership offsites, or franchise events.
- Ability to accommodate after-hours support for executives and Board needs.
- This role requires occasional after-hours availability to support executive priorities, including urgent requests outside of standard business hours.
There will be periodic requirements to travel for in-person events, at the discretion of your manager or the requirement of the company.
