Position: Service Delivery Support CYP ADHD ASD Team

Service Delivery Support CYP ADHD ASD Team

Closing date: 16 January 2026

The role involves taking/making telephone calls to service users and families, responding to queries, organising appointments, processing clinical letters, facilitating meetings, and providing administrative support to the Team/Team Manager(s) in relation to NHFT systems, diary management and other general administrative responsibilities.

Main Duties
  • Effectively manage self, workload and responsibilities.
  • Deal with all queries and direct them appropriately.
  • Ensure a high level of patient care and respect the privacy and dignity of all families and young people.
  • Daily organisation of the office – opening post, distributing appropriately, delegating duties.
  • Record queries from face to face, post, email or phone contacts and pass them on to the most appropriate person if beyond own control.
  • Handle children's records: scanning, archiving, email correspondence, appointment booking and checking clinical letters.
  • Admin support for the Team and Managers including E‑Rostering duties, eExpenses, ESR, HR forms, maintaining staff records, facilitating appointments and checking and sending clinic letters.
  • Provide admin support with various waiting lists.
  • Support other members of administrative staff in cases of sickness or leave.
  • Immediately raise safeguarding concerns with Team lead or lead clinician.
  • Ensure accurate and timely input of data across all systems.
  • Offer training and support for administrative staff, including bank admin staff, and for clinical staff on systems and data entry.
  • Take minutes and notes at meetings and distribute them within the set timeframe.
  • Provide any other duties in line with the Service Manager’s requests.
  • Offer adhoc reception cover.

    Person Specification Qualifications
    • Good level attained maths and English
    • NVQ or equivalent in administration or customer service
    Experience
    • Experience in an administration role
    • Experience of appointment booking
    • Experience of working with CYP and families
    • Previous NHS experience
    Knowledge
    • Working knowledge of Microsoft packages
    • Knowledge of NHS packages ESR, Systm One etc.
    Skills
    • Able to work as part of a team and wider service
