Working Manager for FMSI Hebron’s Composite & Metal Cutting new machines, Composites Retrofits, and Design Intensive Aftermarket Rebuilds proposals. Manages and works with proposal personnel to prepare cost‑effective, innovative proposals which meet our customers' technical and business requirements, giving attention to safety, part quality, machine layout, operation, and ergonomic issues. Responsible for the technical and content of the proposal, and for the completion of the proposal on a timely basis.
Scopeand Responsibilities
- Proactively attain a safe and healthy work environment for all employees.
- Manage proposal personnel to comprehend customer’s request for proposal, develop the initial proposal concepts, and provide technical expertise in final process/equipment selection.
- Manage the working queue of assigned, open proposals and their priority within Salesforce CRM system and other RFQ methods.
- Provide weekly reporting of metrics associated with Salesforce to leadership.
- Manage all Salesforce approval routings and approvals as needed.
- Lead conversations with the Salesperson and/or customer to confirm details of the project scope, proposal due date, etc.
- Collaborate closely with the Director of Project Management on proposals being generated, work order development, order entry process and organization of SAP projects.
- Continuously improve the proposal and closely linked downstream processes and workflows.
- Work with competency managers to gather data needed for the team. Review major estimates with Purchasing manager for compliance with the proposed equipment and sub‑supplier selections.
- Prepare cost analysis and challenge any cost information gathered if deemed questionable.
- Direct, review, and finalize proposal documentation including Budget Sheet, Cost Sheet, Written Proposals and Engineering drawings. Review documents to be submitted to the customer in a quotation format, and for compliance with the customer’s requirements.
- Organize Formal Management Review (FMR) for high value and/or high‑risk project proposals.
- Conduct final proposal review for compliance with quality procedures and technical correctness.
- Follow up on sent proposal with RSM.
- Participate in technical meetings or presentations with customers. Provide technical and cost data support during order negotiations.
- Conduct Order Entry upon PO receipt.
- Maintain all proposal and order entry documents on the network.
- Maintain appropriate procedures and work instructions to ensure the accuracy and completeness of technical and commercial proposal content, minimizing technical risk and maximizing accuracy of the cost estimate.
- Maintain standardized proposal formats including equipment descriptions and drawing formats.
- Maintain required technical reference systems. Maintain standardized technical/sales presentation library.
- Maintain an effective awareness and file system of innovations, materials, components, and ideas for integration into current or future projects.
- Perform Proposal Engineer duties as required.
- Manage metrics and KPIs of proposal throughput in various data tools, measure time at different stages and present back to leadership on a regular cadence.
- Provide input into the Research and Development process concerning performance and other customer perceptions or requirements.
- Liaise with and travel to other Fives groups to build best practices and utilize other tools to improve throughput, common supporting framework.
- Make recommendations to management for process improvements and other cost‑saving measures.
- Write procedures, train and direct subordinates in their use to assure compliance with ISO 9001/QS 9000‑TE and other quality initiatives.
- Monitor and enforce employee compliance with established company policies and guidelines. Provide orientation training for new employees unfamiliar with company policies and guidelines, or with basic job function requirements.
- Make employee work assignments based on skill and expertise.
- Conduct annual performance reviews for department members. Suggest appropriate training plans to maximize the potential of each employee.
- Coordinate subordinates working on multiple projects, provide technical direction as required, and instant reporting of project status to senior management.
Bachelor’s degree (B.A.) from a four‑year college or university; plus seven or more years related experience and/or training; or equivalent combination of education and experience.
