The Administrative Assistant position is an 8-hour day shift Monday through Friday that provides professional support to ensure efficient operations of the office to ensure that all interactions between the organization and others are positive and productive.

Job duties Include:
  • Provide support to managers, employees, and visitors professionally and efficiently.
  • Provide information and support to visitors by answering questions and requests.
  • Answer and distribute phone calls to the appropriate individual.
  • Organize and schedule meetings and appointments.
  • Provide assistance and support for departments such as HR and Purchasing.
  • Maintain office supply inventory by checking stock to determine inventory levels; anticipating needed supplies; placing and expediting orders for supplies; and verifying receipt of supplies.
  • Develop and maintain filing systems and assigned databases.
  • Maintain, sort, and distribute correspondence in a sensitive and confidential manner.
  • Maintain contact lists.
  • Produce and distribute correspondence memos, letters, faxes, and forms.
  • Assist in the preparation of regularly scheduled reports and meeting minutes.
  • Ensure operation of office equipment by completing preventative maintenance requirements; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques.
Required Qualifications:
  • Ability to read and write English.
  • High school degree or equivalent.
  • 3 or more years of administrative experience.
  • Strong computer skills in using Microsoft Office Suite (Excel, Word, Outlook) and comfort with database usage and management.
  • Ability to stay organized and pay attention to detail.
  • Ability to react quickly to changing priorities in a fast-paced work environment.
  • Effective communication skills via email, phone, and in person.
  • Diligent follow through.

While performing this job's duties, the employee will be mainly in an office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, and filing cabinets.

Physical Demands:

The physical demands here are representative of those that must be met by the employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to talk and listen, perform tasks requiring manual dexterity, sit for extended periods of time, and lift 20-40 pounds of office supplies. Repetitive motion using wrists, hands, fingers, with the ability to feel and reach with hands and arms will also be required.

  • Continuous (6 or more hours per day) working at a computer terminal.
  • Continuous (6 or more hours per day) talking and repetitive motion, hand/wrist movement.
  • Frequent (1 to 3 hours per day) standing and walking.
  • Good eyesight and normal hearing.
  • Ability to move and lift objects, up to 40 lbs.
Position Type/Expected Hours of Work:

This is a full-time position. Typically work standard business days and hours. Flexible to attend meetings or important functions that may occur during off hours and weekends to meet organizational initiatives.
