Brief Description

The Marketing Coordinator serves as a central administrative support resource for the organization, providing front‑office and coordination support across all departments. This role ensures effective communication, organization, and daily on‑site operations. In addition to supporting company‑wide administrative needs, the position has a dedicated focus on supporting the Sales and Marketing teams through coordination, communication, and event execution.

This is a 4–5 day, in‑office role responsible for managing front desk coverage, coordinating travel and expense reporting, preparing and distributing meeting notes, and supporting internal scheduling and communications. The role also plays a key part in planning and executing trade shows, sales meetings, and marketing initiatives, serving as a key point of connection between departments and external partners.

Key Responsibilities
  • Provide front‑desk support, welcoming guests and managing incoming calls with professionalism.
  • Coordinate travel arrangements for sales team members, including flights, lodging, transportation, and itineraries.
  • Attend internal meetings to document notes, distribute recaps, and track follow‑up activities.
  • Assist with processing and tracking expense reports for sales and marketing teams, ensuring accuracy and timely submission.
  • Support trade show and event planning, including registration, booth logistics, material shipping, promotional items, and post‑event follow‑up.
  • Maintain marketing and event calendars, organize promotional inventory, and assist with day‑to‑day marketing operations.
  • Collaborate cross‑functionally with internal departments to support sales and marketing activities and communications.
  • Manage sales team credentialing system.
Qualifications
  • Associate or bachelor’s degree in marketing, Business Administration, Communications, or a related field preferred.
  • 2+ years of experience in an administrative, marketing, or sales support role.
  • Strong organizational and multitasking abilities with attention to detail.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook);
    Adobe Creative Suite experience is a plus.
  • Excellent written and verbal communication skills.
  • Professional, customer‑focused demeanor with a proactive and team‑oriented mindset.
Work Environment

This position may require occasional travel to trade shows and flexibility in working hours during events.
