Position Overview

The Client Services Coordinator is essential to keeping our business organized and responsive. This role manages client inquiries, supports sales activity, tracks billing, and assists with basic marketing initiatives. The ideal candidate is friendly, proactive, and able to handle multiple priorities in a fast-paced, small-business environment.

Key Responsibilities
  • Client Communication and Support: Respond to client inquiries via email, phone, and website forms; provide basic catering information, pricing guidance, and availability; coordinate with the catering team to confirm details and follow-ups; maintain professional, timely, and friendly client communication; assist with lead tracking and follow-up; help prepare and send quotes, proposals, and contracts; identify upselling or add-on opportunities when appropriate; support booking and event confirmation processes.
  • Billing and Administrative Tasks: Track invoices, payments, and outstanding balances; coordinate billing information with management and/or accounting; maintain organized client records and event details; assist with scheduling, calendars, and internal documentation.
  • Marketing and Outreach Support: Assist with basic social media posting and content updates; help manage email lists, promotions, or client follow-ups; support local outreach efforts (vendors, venues, referrals, etc.); keep website or online listings updated as needed.
Candidate Qualifications
  • Excellent communication and customer service skills.
  • Strong organizational abilities and attention to detail.
  • Ability to manage multiple tasks and prioritize in a fast-paced environment.
  • Proficiency with Microsoft Office, email, and basic online tools.
  • Experience in catering, hospitality, or administration preferred but not required.
