Position OverviewThe Administrative Billing Specialist provides comprehensive administrative and clerical support to the Forensics team. ensure efficient, accurate, and professional office operations. This role is primarily focused on timely billing of client services. This role supports managers and teams through accurate record management, billing, scheduling support, and communication with internal and external stakeholders. The position requires strong attention to detail, organization, discretion, and the ability to manage multiple priorities in alignment with organizational goals and regulatory requirements.
Responsibilities- Perform timely daily administrative functions, including project billing, data entry, filing, document or report preparation, and distribution of materials and invoices.
- Handle sensitive and confidential information with discretion and professionalism in accordance with company policies and legal requirements.
- Maintain, monitor, and update records, databases, spreadsheets, and inventories using approved systems to ensure accuracy and compliance.
- Assist with the collection, verification, integration, and reporting of operational, financial, and departmental data.
- Provide administrative support to assigned managers or executives, including scheduling support, correspondence, and document management as needed. Understands, and follows procedures in accordance with system policies and regulations, ensures that operations within the office are carried out with the highest level of quality, makes recommendations for improvements, develops workflow processes in accordance with departmental or company procedures.
- Prepare, review, and distribute internal and external communications, including emails, invoices, notices, and reports in a timely manner.
- Serve as a primary point of contact for internal staff, clients, vendors, and external partners by answering emails, phones, routing inquiries, and ensuring timely follow-up.
- Coordinate with other departments, as required.
- Establish and maintain professional working relationships with colleagues, clients, vendors, and stakeholders.
- Collaborate with team members to support organizational goals, operational efficiency, and service delivery excellence.
- Comply with all applicable federal, state, and local laws, regulations, and organizational policies and procedures.
- Perform other related duties as assigned.
- High school diploma or equivalent required; associate degree or higher preferred
- Minimum of three (3) years of administrative, clerical, or office support experience
- Accounts Receivable or billing experience strongly preferred
- Proficiency in Microsoft Office including Word, Excel, Outlook, and PowerPoint. Advanced Excel skills preferred.
- Strong organizational, time management, and prioritization skills. Strong project tracking experience preferred.
- Excellent written and verbal communication skills
- Professional demeanor with strong customer service orientation
- Ability to manage multiple tasks in a fast paced office environment
- Ability to work independently while supporting team based objectives
Work Environment Requirements
- Professional office environment with regular interaction with staff, clients, and vendors
- Ability to sit, stand, and walk throughout the workday
- Occasional lifting of materials up to 25 pounds
