About the OpportunityThe Executive Assistant (EA) plays a pivotal role supporting the Executive member in a dynamic, fast‑paced environment. This highly organised and collaborative professional will act as a key point of contact for Executive and Senior Leadership, employees, clients and external stakeholders, ensuring seamless communication and coordination. The EA provides high‑quality, timely administrative and project support to the Leadership Team, ASC Board and ASC Executive, contributing to overall business efficiency.
Responsibilities include diary and calendar management, travel coordination, expense processing and a broad range of administrative tasks. With a focus on professionalism, responsiveness and proactive support, the EA will enable senior leaders to operate at their highest effectiveness.
This is a full-time opportunity based at our Osborne site in SA.
Responsibilities- Provide confidential, accurate and efficient executive administrative support to the Executive Manager and relevant departments.
- Prepare, coordinate and develop reports, papers and other documentation.
- Design and produce CMS documents, departmental communications and executive presentations.
- Support team culture through the execution of engagement and event plans.
- Build and maintain strong relationships with key stakeholders.
- Liaise with P&C on HR‑related matters and support organisational chart updates and reviews.
- Draft business and departmental communications.
- Champion and promote ASC wellbeing programs and initiatives.
- Coordinate financial reimbursements and reconciliations for the Executive Manager.
- Manage travel arrangements for the Executive Manager
- Minimum 4 years’ experience in high‑level office administration, ideally supporting an Executive Manager.
- Proven ability to support strategic and operational business objectives.
- Strong stakeholder management skills with a collaborative, team‑focused approach.
- Highly developed written and verbal communication skills, with the ability to liaise and negotiate effectively.
- Able to work autonomously, manage workload efficiently and deliver accurate, high‑quality outcomes while maintaining confidentiality.
- Experienced in preparing departmental communications, board papers and executive reports.
- Demonstrates integrity, professionalism and respect in all interactions.
- Highly organised, adaptable and able to manage competing deadlines and priorities.
- Flexible, proactive and committed to supporting a positive team environment.
This role requires a current National Police Clearance and an Australian Defence Security Clearance to an NV1 level. Your eligibility for this role is dependent on you obtaining and maintaining such clearance.
