Office Administrator/ Coordinator
We are seeking a highly organized and detail-oriented Construction Administrator to support an on-site construction management team during a multi-year generation construction project. This role operates primarily from an office trailer on an active job site and plays a critical part in keeping project operations running smoothly. The ideal candidate thrives in a fast-paced environment, communicates effectively, and is comfortable working in a dynamic construction setting.
Key Responsibilities- Provides administrative support to Project Managers, Supervisors, Engineers and Field Management while maintaining confidential project documentation.
- Assists with purchase orders, invoice coding, requisitions and expense tracking, and prepares monthly expense reports.
- Coordinates travel arrangements for individuals and groups and supports the planning and execution of training sessions and safety events.
- Manages incoming calls, visitors, deliveries and mail at the project site; prepares meeting agendas; records and distributes meeting minutes; maintains organization of the office trailer, supplies and equipment; coordinates facility scheduling and catering for meetings and project events; and creates vendor requisitions and receipts as needed.
- High school diploma or equivalent required. Bachelor’s Degree in Business, Communications, Accounting or related field preferred but not required.
- Strong organizational skills, attention to detail and ability to manage multiple priorities in a fast‑paced environment.
- Strong written and verbal communication skills. Proficiency in Microsoft Office applications including Word, Excel, Outlook and PowerPoint.
- Valid driver’s license required.
- Experience with systems such as People Soft, Box or similar platforms preferred.
- Previous experience supporting construction or field operations teams advantageous.
The ideal candidate will demonstrate a high level of accuracy when handling large volumes of data, strong problem‑solving and decision‑making abilities, and the ability to work both independently and collaboratively within a team. Adaptability and responsiveness in a changing work environment are important for success in this role. This position is based in a field office environment (office trailer) at an active construction site.
Personal protective equipment (PPE) is required when entering field areas. Intermittent travel may be required. A strong attendance record and professional work ethic are essential.
